Job Summary As the first point of contact for clients, executives, and guests, The Front Desk Administrator is responsible for establishing a warm, welcoming and professional atmosphere at all times. Located on the top floor at the entrance to the Conference Center, the Front Desk Administrator sets the tone for a seamless and efficient operation, while ensuring the overall coordination of a busy conference floor. This position interacts with a diverse group of employees and visitors requiring exceptional communication skills, poise and the ability to thrive in a fast-paced, client-facing setting. Job Responsibilities

  • Serve as a trusted ambassador of the brand, warmly greeting and assisting all guests and visitors with enthusiasm and professionalism. Create rapport with visitors with a smile and maintaining eye contact throughout the interaction.
  • Work together with other members of the Conference Services team to ensure that every guest has a personalized experience.
  • Follow established procedures with regards to both expected and unexpected arrivals. Register all guest activity and liaise with other centers including in-house security and facilities to maintain a secure workplace.
  • Answer telephones in a friendly, professional manner; efficiently take messages, transfer calls and handle all inquiries.
  • Act as an overall Hospitality Services resource to guests, visitors, and employees; provide wayfinding, transportation and amenities information within building and the surrounding neighborhood.
  • Stand during peak business hours and when greeting guests.
  • Have a thorough understanding of the emergency procedures and being prepared to carry out designated tasks in the event of a fire or other emergency.
  • Adhere to uniform and grooming policies.
  • Assist with coverage in other locations as needed; adhere to flexible schedules to meet business demands.
  • Capacity to take on additional duties as assigned; additional adjustments or responsibilities may be changed or added as necessary. Key Competencies
  • A genuine sense of hospitality, with a commitment to delivering the Platinum Service Standard in all aspects of the job. Anticipate visitor's needs to create a unique and personalized experience.
  • The ability to stay calm and organized while working under pressure, prioritizing tasks and juggling many jobs simultaneously, while constantly interacting with visitors in a public environment.
  • Excellent listening and oral communication skills, and confidence when interacting with a diverse group of visitors and employees.
  • Basic computer skills and knowledge of office technology / equipment. Ability to quickly learn new tools and programs.
  • Punctual, dependable and dedicated to achieving operational excellence, down to the smallest of details.
  • Discreet, ethical and committed to maintaining a high degree of confidentiality.
  • A consistently professional approach, with a mindset to take ownership and responsibility within and outside one's job domain.
  • A high school graduate, with some college preferred. Two to three years' experience in a client service or reception position within a hospitality or corporate environment. Apply to Flik today!
