Administrative Assistant
CAPTRUST is seeking an Administrative Assistant who will provide general support to the Tax Department and Managing Directors with a variety of activities and related tasks. This is a full-time permanent position, working Monday through Thursday from 8 : 30 a.m. 5 : 30 p.m. and Friday from 8 : 30 a.m. 4 : 00 p.m. in our Boston, MA office location.
Responsibilities
Provide support to the Managing Directors and Tax Director in the following areas but not limited to :
- Prepare and distribute tax engagement letters and tax organizers to clients
- Process client tax source documents and scan using CCH Autoflow software program
- Process various types of tax returns using CCH Axcess tax program and deliver tax returns using DocuSign program
- Process, scan, mail and track estimated tax payment filings including online filing
- Actively monitor and download incoming K-1's
- Process and distribute client K-1's
- Receive, monitor and distribute taxing authority communications
- Monitor e-File acceptance and file accordingly
- Maintain multiple tax filing compliance logs
Other Administrative Responsibilities :
Provide back-up assistance to the primary front desk administrator in the following areas but not limited to :Greet office guests in a professional, friendly, and hospitable mannerAnswer phone calls with a welcoming and positive demeanor; ensure phone calls are directed to the appropriate team memberType correspondence, reports, and other documentsScan documents for electronic storage; assist with movement of documents into electronic systemsAssist in scheduling, calendaring, and confirming tasks, activities, and appointmentsPrepare conference rooms for meetings, and clean conference rooms after each meetingMaintain an orderly and clean lobby, front desk, conference rooms and break room areasCoordinate maintenance of office equipment and equipment suppliesAssist with planning and preparation of client events and employee eventsBack up for front desk administrative associate, as neededPerform a variety of administrative duties as assignedQualifications
Minimum Qualifications :
Associates degree preferred and a minimum of 2 years of relevant experience and / or training, or equivalent combination of education and experienceWorking knowledge of CCH ProSystem FxExcellent phone etiquette, verbal, and written communication skillsProficient in MS Office (Word, Excel, Outlook, Power Point)Desired Qualifications / Skills :
