Responsibilities

The Shop Coordinator is responsible for overseeing and organizing all aspects of the branch maintenance operations, including supervising and training mechanics and yard personnel in a manner that reflects the company's vision of working as One Professional Team. This position is also responsible for ensuring required paperwork is accurate and completed on a timely basis.

  • Utilizes strong computer skills by assisting with the processing of work orders, purchase orders, and other relevant paperwork
  • Ensures completion of all relevant paperwork in a timely manner, including but not limited to Safety Damage Sheets, Purchase Orders, Incident Reports, warranty work orders, and customer invoicing
  • Creates and closes in a timely manner all POs, ensuring accuracy, correct pricing, and detailed comments for future reference
  • Manages available reports to boost productivity
  • Reviews profit and loss statements to help manage repair expenses and maximize profitability
  • Ensures a safe work environment by modeling and requiring that safety policies are always followed
  • Prioritizes maintenance productivity by internal / external customer promise (reservation) date, mechanic's skill level, and profitability to the company
  • Efficiently coordinates urgent rental equipment requests
  • Coordinates the availability of rental equipment with counter representatives as needed
  • Coordinates the availability of sales equipment with the sales coordinator through established procedures
  • Seeks 6 Sigma efficiency improvements
  • Ensures compliance with regulatory agencies, such as ANSI, OSHA, and DOT
  • Communicates the status of customer repairs in a professional and courteous manner
  • Negotiates invoicing disputes with customers while maximizing profitability and satisfaction
  • Communicates as needed with rental and equipment sales representatives to ensure customer satisfaction
  • Trains assigned personnel according to the mechanic's skill level and the needs of the company
  • Ensures company standards of quality are achieved
  • Coordinates the timely preparation of all new equipment deliveries from the manufacturer
  • Seeks assistance as needed from the Branch Manager
  • Other duties as assigned by manager
  • Supervisory Responsibilities

    Indirect supervision of Level 1, 2, 3, and Field Service Mechanics. Provides positive leadership, a professional image, and solid work ethics and values at all times to establish a behavior model for subordinates. Cultivates a 5S culture and inspires 1% positive change. Develops an effective work schedule that meets the daily and after-hour productivity challenges of the branch. Discusses objectives for strategic goals and develops an achievable action plan for success. Monitors and documents the performance of direct reports and conducts meaningful, honest performance reviews.

    Required Education and Experience

  • High School Diploma or GED
  • 5 years in the mechanical repair field with lead person or shop foreman experience
  • 3+ years customer service experience
  • 3+ years supervisory / management experience
  • Physical Demands & Competencies

  • Standing, walking, talking, sitting, use of hands & hearing
  • Ascending or descending ladders, stairs, etc.
  • Heavy work that includes lifting and / or moving objects up to 70 pounds or more
  • Data Entry, telephone, reading / writing, reasoning, organizational, communication & math skills

  • Intermediate leadership skills
