Role Overview
The Lead Administrative Coordinator is instrumental in supporting client services and enhancing operational performance across logistics functions. This role acts as a key liaison for client and departmental inquiries, specifically concerning special projects, inbound receipts, order fulfillment, and returns processing.
The ideal candidate will possess strong analytical skills, experience in report generation, and a proven background in a 3PL setting.
Key Responsibilities
- Provide essential administrative support by managing clerical tasks such as copying, filing, email communication, and report generation to facilitate effective inventory control and operational activities.
- Collaborate with various internal teams to oversee special projects, ensuring successful execution aligned with client requirements.
- Serve as a backup for other administrative coordinators and account managers to uphold operational continuity.
Client Interaction & Account Management
Act as the primary point of contact for designated accounts, adeptly managing inquiries and addressing service issues by identifying the root causes, providing solutions, and ensuring a high level of client satisfaction.Engage in Client Satisfaction Team meetings to stay aligned with client expectations and contribute ideas for process enhancements.Order Processing & Documentation
Oversee daily order processing, which encompasses managing held orders, backorders, drop ship orders, and providing timely order status updates.Respond promptly to operational issues, escalating them internally when necessary to guarantee swift resolutions.Effectively distribute daily, weekly, and monthly reports while ensuring accurate billing and client documentation is maintained.Data Management & Reporting
Conduct thorough research and problem resolution by analyzing order details, inventory records, and documents related to receiving and cycles counts.Maintain data integrity and compliance with operational standards through regular record updates and reporting.Qualifications
A minimum of 3 years of experience utilizing a Warehouse Management System (WMS) or Business Intelligence tools, ideally within a 3PL environment.Demonstrated proficiency in report generation, business reviews, and operational data analysis.Skills
Expertise in Microsoft Office (particularly Excel) and familiarity with database or order processing systems.Strong analytical, organizational, and problem-solving skills, capable of effectively managing multiple priorities in a high-pressure environment.Exceptional written and verbal communication skills for effective internal coordination and client engagement.A detail-oriented, proactive approach, exhibiting a customer-centric and collaborative mindset.Self-motivated and accountable, showing initiative and ownership in completing tasks.What Success Looks Like
