Position Summary :
The Enrollment Manager is responsible for leading Tierra Encantada's centralized enrollment center (CEC), ensuring every prospective family receives an exceptional and personalized experience from first inquiry to enrollment, while also ensuring that each center's capacity for new children is met.
This role owns the lead-to-enrollment funnel and space management process used to forecast, track, and optimize classroom ratios. The Enrollment Manager oversees the Enrollment Specialist and partners closely with Marketing, Operations, and Center Leadership to balance family demand, space availability, and growth goals.
The ideal candidate combines sales leadership, data management, and process optimization skills, achieving conversion goals while ensuring centers are efficiently and accurately filled.
Key Responsibilities : Leadership & Team Management
- Manage the Enrollment Specialist and any future team members.
- Establish clear performance targets, including lead-to-tour and tour-to-enrollment conversion goals.
- Coach and develop the team to ensure consistent, high-quality communication and follow-up with families.
- Foster collaboration with Marketing and Operations to align strategy and messaging.
Lead & Conversion Management
Own the full lead management funnel from inquiry to enrollment for corporate centers and pre-opening sites.Ensure prompt, personalized follow-up with every prospective family through phone, text, and email.Oversee tour scheduling and post-tour communication to maximize conversion.Analyze conversion rates and lead sources to identify opportunities for marketing optimization.Partner with Marketing to ensure campaign quality aligns with enrollment capacity and timing.Center Capacity & Classroom Management
Oversee and maintain the center capacity trackers that record classroom space availability, transitions, and withdrawals.Monitor child transitions between classrooms (infant → toddler → preschool, etc.) to ensure space continuity and optimize utilization.Collaborate with Center Directors to confirm transitions before adjusting space.Track upcoming withdrawals, start dates, and internal moves to maintain accurate projections. Identify inefficiencies or manual pain points in the tracker process and lead improvements or automation initiatives.Partner with Operations to develop and implement long-term space planning tools and processes.CRM Ownership & Process Optimization
Serve as the primary CRM administrator for enrollment, ensuring accurate tracking of inquiries, tours, and conversions.Maintain data integrity and implement workflows that integrate lead activity with capacity data.Partner with Marketing on the automated communication campaigns to nurture leads and improve conversion.Training, Coaching & Enablement
Train Center Directors and franchise owners on Tour presentation best practices, scripting, and execution.Train franchisees on CRM best practices, lead management, and space management trackers.Collaborate with Marketing and Operations to ensure centers understand and follow standardized enrollment procedures.Analytics & Reporting
Maintain dashboards tracking leads, tours, enrollments, and withdrawals across the network.Produce weekly and monthly reports on enrollment progress, capacity utilization, and conversion metrics.Analyze family feedback, withdrawal reasons, and tour outcomes to identify improvement opportunities.Present key insights to the CMO and Operations leadership to guide strategy and resource allocation.Qualifications
Bachelor's degree in Marketing, Business, Communications, or a related field preferred.4+ years of experience in enrollment, sales, admissions, or capacity management roles.2+ years in a leadership or team management position.Proficiency with CRM systems (HubSpot, Salesforce, Childcare CRM, or similar) and Excel / Google Sheets for data tracking.Strong organizational, analytical, and communication skills.Proven track record of meeting or exceeding conversion goals.Ability to collaborate across departments and manage multiple priorities in a fast-paced environment.Compensation & Benefits
Salary range is $80,000- $90,000 and depends on qualifications, education, and experience.
