PAY RANGE : $69,000.00 - $79,000.00 Annually

ESSENTIAL FUNCTIONS
The position of the Agency Relations Manager will be responsible for supporting the Agency Relations Directors and Sr. Director of Agency Relations & Product Acquisitions in setting and achieving departmental goals for service, quality, and efficiency. They are responsible for the ongoing support and strengthening of relationships with nonprofit partners for the receipt of Food Bank products and monitoring of sites in accordance with established protocol. The manager oversees and coordinates partner participation in various programs in accordance with the Food Bank’s policies, goals, and objectives. Additionally, the AR Manager will provide development, training, and supervision of the Agency Relations team.
WHAT YOU’LL DO
Partner Relationship Management & Program Oversight : Ensure strong, compliant, and collaborative relationships with nonprofit partners, aligning their activities with Food Bank programs and standards. Supervise and support the implementation of key Food Bank programs (e.g., TEFAP, Brown Bag, Onsite, Pantry) by partner organizations. Ensure agency adherence to all compliance requirements, including documentation, insurance, reporting, and food safety protocols. Coordinate and lead regular partner site visits and monitoring efforts identifying non-compliance issues and guiding corrective actions. Manage complaint resolution processes and maintain comprehensive records of partner performance and follow-up. Oversee and validate reports, audits, and agency files to ensure accuracy and alignment with internal policies. Manage agency-level operational needs, such as product allocations, account holds, and invoice reviews. Collect and analyze program data (e.g., sales trends, LFPA reporting) and support annual audit preparation. Represent the Food Bank at external events, including conferences and training sessions, to strengthen community presence and share best practices. Approve and oversee outreach materials such as newsletters and partner guides, ensuring consistent communication and resource updates.
Team Leadership & Operational Management : Lead, develop, and support the Agency Relations team to ensure efficient operations and high performance in alignment with the Food Bank’s goals. Conduct regular performance check-ins, coaching sessions, and development planning with team members to foster professional growth. Partner with Human Resources to address staff concerns, performance issues, and recruitment needs. Oversee internal scheduling tools, including vacation calendars and holiday coverage, to maintain smooth departmental workflow. Lead operational process improvements and manage the implementation of technical updates across systems like Ceres, Agency Express, and internal drives. Validate reporting data, manage templates, and coordinate special projects to enhance team productivity and accuracy. Handle ordering of supplies and one-off resource requests to ensure the team is well-equipped. Approve and provide oversight on team-driven initiatives and support the successful execution of departmental goals.
QUALIFICATIONS
Trains, supervises, develops, and evaluates Agency Relations team members, volunteers, and temporary staff.
Oversees the AR team members in the primary functions of the following programs, including but not limited to TEFAP, Brown Bag, Onsite, and Pantry.
Manages the AR team to ensure procedural compliance in all partner aspects, including file maintenance, insurance requirements, monitoring, food safety, and reporting.
Collaborates with internal stakeholders on aspects of product ordering and logistics.
Oversees allocations of products to agencies.
Maintains systems and recommends improvements on the Agency Relations technical functions of Ceres, Agency Express, and the Food Bank website.
Oversees monthly agency monitoring for compliance, coordinating partner monitoring programs : develops and directs overall plans for conducting agency visits and periodic reviews; makes recommendations to the AR Director based on inspection findings; recommends corrective action plans for noncompliant partners.
Attends the Annual Conference and other seminars, workshops, meetings, and conferences as assigned.
Monitors agency visits and maintains the Complaint Log & follows to the last stage of review.
Handles accounts on hold and oversees invoices for accuracy and completeness.
Reviews Monitor Reports and conducts audits of files for compliance and accuracy.
Manages holiday schedules and maintains the In-Office Calendar & Vacation Calendar.
Conducts one-on-one meetings with team members and the AR Supervisor to discuss performance, concerns, and development opportunities.
Prepares and distributes the newsletter and maintains up-to-date guides and written procedures for agencies.
Validates the Unified Report and oversees updates on internal drives
Coordinates tech projects, ensures team templates are current, and facilitates new project initiatives.
Orders supplies as needed and manages one-time product requests.
Facilitates team development and training sessions, and conducts internal and interdepartmental meetings.
Review and analyze sales data, prepare LFPA monthly reports, and compile annual audit information.
Approves team projects and manages pantry referrals.
Address HR concerns in collaboration with the HR team.
Manages accounts receivable write-offs and facilitates one-on-one discussions regarding team performance.
Performs other tasks as assigned.
