Classification : Full Time, Non-Exempt

Location : Hybrid / Temecula Office

About the Position : NBS currently has an opening for a Resource Administrative Assistant in the Customer Care Team. This position is responsible for assisting the District Consulting Group by acting as a frontline customer service contact for property owners and title companies.

The District Consulting Group (DCG) team provides a variety of services including, annual administrative services, consulting, and formation. DCG administrators provide high-end special district financing administration services. To succeed and have a reputation as a quality consulting firm, our Customer Care Team is critical to that success. The Customer Care Team serves as the frontline for customer services contact for property owners, title companies, and other interested parties. Further, the Customer Care Team provides annual reporting and other special project support to the DCG throughout the year.

To Succeed

In this role, you'll love working with people, answering their questions about special assessments, taxes and other charges on their tax bills, as well as working with title companies that are ordering payoff quotes for properties being sold. You'll be curious about how municipalities use special assessment and taxes to fund infrastructure and services in our communities, and be able to explain to property owners how this works. You'll enjoy working closely with other NBS team members to research issues and provide timely answers to the inquiring party. Finally, you will do your work with a feeling that you own the company you're representing. Why? Because we're an employee-owned company.

Essential Duties and Responsibilities

The Resource Admin Assistant position is focused primarily on, but not limited to, the following duties :

  • Answer questions and provide information about special assessments, taxes and other charges on a property tax bill.
  • Work with title companies requesting documentation for real estate transactions.
  • Provide callers with an overview of the process and district-specific information related to a public agency's use of special assessment and tax revenue to fund infrastructure and services in their communities.
  • Work closely with other NBS team members to research issues and provide timely answers to the inquiring party.
  • Reviewing tax rolls for delinquency management
  • Learn and provide backup support for Office Coordinator to endure continuity of operations during absences or peak periods.

Position Requirements

The following skills are important for this position :

  • Must be able to handle a high volume of phone calls and emails on a consistent basis throughout the day
  • Ability to respond to confrontational calls with a calm, respectful approach
  • Requires excellent phone skills including patience, active listening, and ability to communicate calmly to understand and assist customers and NBS team members
  • Must have the ability to write professional emails and letters in response to inquiries
  • Must be Client-service oriented, as our Clients are our most important asset.
  • Demonstrate high level of responsiveness to client and handle client questions and challenges with a professional approach
  • Ability to handle a multitude of tasks quickly and accurately
  • Attention to quality and detail
  • Able to work independently at a high level of accuracy
  • Must be able to organize assigned workload and perform work efficiently as well as be flexible and adapt to changes
  • Must be able to determine critical vs. non-critical issues and handle accordingly
  • Education and / or Experience

  • Fluent in Spanish is highly preferred but not required
  • Experience in customer service or related position preferred
  • Proficient in Word and Excel
  • Work Environment

  • Working hours will be 8 : 00a to 5 : 00p Monday-Friday
  • This job operates in an indoor office setting. This role routinely uses standard office equipment such as computers, keyboard / mouse, phones, photocopiers, and filing cabinets.
  • This job consists of being in a sitting position at a desk for more than 50% of the time.
