Asst Administrative 3
Performs routine clerical and administrative functions such as drafting correspondence, scheduling appointments, conducting research, organizing, maintaining paper and electronic files, providing information to callers, maintaining SAP time entry and maintaining / submitting expense reports.
Tasks and responsibilities include developing and maintaining spreadsheets, assisting staff with research and preparation of reports and presentations, managing appointments, coordinating / scheduling meetings, modifying and upgrading data systems, assisting in the utilization of computerized applications to facilitate productivity, assessing and maintaining all office supplies, maintaining division files, preparing and distributing minutes of meetings, opening and distributing division mail, preparing urgent packages for overnight, tracking / monitoring incoming and outgoing correspondence as needed, preparing, coordinating and maintaining budget data and submissions, coordinating travel arrangements and assisting with scheduling, initiating purchase requisitions and service entry sheets in SAP, verifying and processing invoices for payment, preparing travel authorizations and submitting / maintaining monthly expense reports, submitting work order requests for department moves, telephones, voice-mail requests, PC log-on, etc, maintaining SAP time entry reporting for executive's direct reports, orienting, training and assigning work to lower level employees, and performing other project and process improvement initiatives as assigned.
Minimum skills required include extensive experience in secretarial / administrative management for operational units, advanced skills in Microsoft Office Package, ability to set priorities, organize work and make occasional exceptions, ability to develop and maintain working relationships with customers and support teams, initiative to work independently or as a member of a team, well-developed written and verbal communication skills, ability to meet goals and objectives with minimal direct supervision, high level of accuracy of work and attention to detail, effective interpersonal and customer service skills, proven ability to manage multiple tasks with urgency, and ability to effectively manage sensitive and confidential information.
Preferred qualifications include an associate's degree in Office Administration, Business or other related field from an accredited institution, experience with SAP, and experience in the utility industry.

Minimum education required is a high school diploma or GED.
Working environment includes indoor work, operating computer, manual dexterity, talking, hearing, repetitive motion, use of personal computing equipment, telephone, multi-functioning printer, and calculator. Ability to travel to and from meetings, training sessions or other business related events.
Physical demands include office environment.
