Administrative Assistant

Under the guidance of an experienced CEO, you'll have the unique opportunity to support multiple affiliated companies all focused on improving the lives of older adults through compassionate, high-quality care and advanced rehabilitation programs. In this key role, you'll provide comprehensive administrative support to the CEO-handling daily accounting, financial recordkeeping, bill payments, data entry, and communications-while ensuring seamless office operations. You'll also serve as the main point of contact for external accountants, playing an essential role in the organization's continued growth and success.
Responsibilities
- Maintain accurate daily accounting records, ensuring all financial transactions are properly documented.
- Transition financial data from Quicken to QuickBooks, ensuring data integrity and consistency.
- Enter all credit card transactions into the accounting ledger in a timely and accurate manner.
- Perform monthly ledger closeouts, reconciling accounts and preparing financial summaries.
- Manage the payment of company bills, ensuring timely and accurate disbursements.
- Record all bill payments in the accounting ledger and ensure supporting documentation is filed appropriately and accurately.
- Serve as the primary liaison with external accountants, providing necessary financial records and documentation as requested.
- Open and sort all incoming mail daily, ensuring timely distribution and response.
- Monitor and respond to all incoming communications, including emails, voicemails, and text messages, in a professional and prompt manner.
- Maintain organized and up-to-date physical and digital filing systems for financial and administrative documents.
Qualifications / Skills
Proven experience as an Administrative Assistant or similar role, preferably supporting senior leadership.Strong understanding of basic accounting principles and experience with financial recordkeeping, bill payments, and data entry.Proficiency with accounting software (e.g., Quicken, QuickBooks) and Microsoft Office Suite (Word, Excel, Outlook).Excellent organizational skills with a keen eye for detail and the ability to manage multiple priorities efficiently.Outstanding communication skills, both written and verbal, with a professional and approachable demeanor.Ability to handle confidential information with discretion and maintain a high level of integrity.Experience liaising with external accountants or financial professionals is a plus.Comfortable working in a fast-paced, dynamic healthcare environment.Strong problem-solving skills and a proactive, can-do attitude.Associate's or Bachelor's degree in Business Administration, Accounting, or a related field preferred but not required.Valid Driver's License and reliable transportation. Location varies-offices in Lehigh and Northampton Counties.Physical Demands
