Boulder Chamber Position Description:

  • Senior Program Coordinator September 2026 Job Title Senior Program Coordinator Reports To Senior Director of Events and Programs FLSA Exempt Function The Senior Program Coordinator manages a portfolio of Chamber programs — including Bolder Young Professionals (BYP), the Business Women's Leadership Group (BWLG), Boulder Home Pros, the Equity Amplification Program (EAP), the Non-Profit Group, Chamber University, and Policy Programs — and serves as the operational and project-management backbone of the Events & Programs team.

This role carries significant autonomy to plan and execute assigned programs from concept through close-out:

  • setting timelines, managing budgets, and partnering directly with advisory committees, speakers, and vendors to keep every program on time and on brand.
  • Currently there are no direct reports; this position may guide the work of contractors, Chamber Ambassadors, and other team members as appropriate.
  • This position reports to the Senior Director of Events and Programs and works closely with the Senior Event Specialist to keep program plans and on-site event logistics aligned.
  • This role may also collaborate with the Economic Impact Program Coordinator when programming intersects with Boulder Together and related Economic Impact initiatives.
  • Key Responsibilities Program Management Manage assigned Chamber programs and their advisory committees — including BYP, BWLG, Boulder Home Pros, EAP, the Non-Profit Group, Chamber University, and Policy Programs — including scheduling, agendas, meeting materials, minutes, and follow-up.
  • Translate program goals into actionable plans in partnership with the Senior Director, advisory committees, speakers, and partners; keep each program's operating guidelines current.
  • Review program goals, participation, and results with the Senior Director and recommend improvements to future programming.
  • Planning & Logistics Secure and negotiate agreements with speakers, facilitators, vendors, and venues, including trades and sponsorships.
  • Administer contracts and agreements (e.g., through DocuSign) for vendors, venues, and speakers, and maintain accurate records.
  • Order and coordinate food and beverage, A/V, rentals, and other program logistics within budget and timelines.
  • Coordinate with Operations on internal facility usage, room setup, and building logistics for programs and meetings.
  • Project & Department Operations Own program timelines and the annual program calendar using Airtable and other department tools; assist in setting and tracking quarterly program goals.
  • Monitor deadlines proactively and follow up with staff, committees, and partners to keep programs moving.
  • Coordinate handoffs and information across Marketing, Member Relations, and Finance.
  • Maintain program files, templates, documentation, and standard processes.
  • Technology, Systems & Registration Maintain accurate program information and pages in Airtable, GrowthZone, and other department systems.
  • Set up and monitor program registration, and provide registration-related customer service and troubleshooting to members and non-members.
  • Financial Coordination Monitor program budgets — expected vs. actual expenses and revenue — and review budget reports for accuracy.
  • Submit program-related invoices to Accounts Payable and maintain accurate expense and sponsorship records in coordination with Finance.
  • Event & Cross-Functional Support Support final attendee lists, seating, and day-of flow for assigned programs.
  • Manage communication with speakers and honorees, ensuring they understand themes, messaging, deadlines, and logistics.
  • Coordinate ambassador and volunteer support for programs as needed.
  • Support the Events & Programs team and Senior Director with special projects as needed.
  • Other Duties Other duties, tasks, and responsibilities as assigned.

Qualification Education :

  • Bachelor's degree in Business, Communications, Nonprofit Management, or a related field preferred, or equivalent professional experience.

Experience :

  • 6–10 years of progressive experience in program management, project management, or event coordination, ideally within a chamber of commerce, trade association, or nonprofit environment.

Program Management :

  • Expert-level program and project management skills, with the ability to manage overlapping programs, timelines, and deliverables with significant autonomy; proficient with project management tools (e.g., Airtable) and CRM systems (e.g., GrowthZone).

Ownership & Accountability :

  • Comfortable taking ownership of programs and independently moving work forward; able to respectfully hold colleagues, committees, and vendors accountable to deadlines.

Communication :

  • Excellent written and verbal communication with strong customer service and interpersonal skills; experience working with advisory committees, volunteers, or boards preferred.

Technology :

  • High comfort with technology and quick to learn new systems; proficient in Microsoft Office/365, with experience in event-management, registration, or database platforms a plus.
  • Working Environment and Schedule We trust and empower our staff members to work with their managers and team to identify what their department needs.

  • Hybrid consists of an in-office presence of a minimum of two days per week at the office.
  • Available during core hours (8–5) and on camera for virtual meetings.
  • Position requires professionalism in appearance and actions.
  • Flexibility for occasional early morning, evening, and weekend hours to support Chamber programs, department needs, and emergencies.
  • Typical Physical Demands Operate normal business office equipment; travel via own transportation to off-site meetings.
  • Ability to pick up or lift up to 50 pounds for event support and room setup.
  • Role requires attendance and/or support for Signature Events and Major Programs as needed.
