General Statement of Duties

Library, Recreation & Cultural Services is looking for a Booking Coordinator to join their Cultural ServicesDivision! This position will be responsible for assisting in all general aspects of the Hult Center programming department. The position requires strong administrative skills, an ability to multitask and excellent time management. This position directly supports revenue generation and economic development for the community and City of Eugene

About Limited Duration Position

  • This Limited Duration position will be until December 31, 2025.
  • If you are a current Limited Duration employee, you will not have rights back to your Limited Duration position.
  • Employees hired into Limited Duration positions will be members of the AFSCME bargaining unit and covered by the contract except for items outlined below :
  • Limited Duration employees are at-will and do not have a probationary period; they accrue no seniority, have no bumping or layoff provisions, and have no discipline or discharge rights.

Examples of Duties Performed - Duties may include but are not limited to the following

  • Assists a program manager or other administrative supervisor in the ongoing direction of a program or operation.
  • Develops administrative and operating procedures and controls for carrying out activities in the assigned area; implements, coordinates and administers a variety of projects and activities; coordinates with other departments and / or jurisdictions; defines and resolves administrative and operational issues and problems.
  • Assists in developing long and short-range program goals; evaluates objectives, policies and processes and provides recommendations to program manager; participates in the development of program or operational guidelines.
  • Research ways to achieve objectives and recommends necessary adjustments to the program or operation focus and / or activities; is responsible for designing and implementing approved program changes.
  • Evaluates effectiveness, impact, and cost / benefit impact of program or operational activities; documents, compiles and tracks program activity costs; designs and compiles periodic program progress reports; assesses program needs and issues; evaluates need for training or changes to program policies and procedures and develops recommendations; monitors program compliance.
  • Develops work plans, timelines and resource allocations for assigned program or operational area; monitors progress to ensure objectives are met.
  • Performs research in support of a program or operation and evaluates findings; develops research criteria; evaluates results and summarizes results in narrative, and / or statistical reports; and evaluates impact of research results on program activities. Researches problematic issues and prepares recommendations. Prepare complex reports requiring detailed research, and independent judgment.
  • Interprets and applies laws, rules and regulations impacting the assigned area to determine and implement or authorize an appropriate course of action. Interprets ordinances; reviews legislation and other rules and regulations pertaining to assigned programs; monitors program activities for compliance with Federal and / or State laws
  • Evaluates and researches a variety of issues and complaints; reviews complaints and monitors enforcement of program policies and ordinances; assesses appropriate fees; enforces program policies; may recommend enforcement action, prepare enforcement documents and evaluate impact of enforcement actions
  • Negotiates with involved parties to resolve problems, gain compliance, reach agreement or determine provisions for services.
  • Develops and maintains manual and computerized databases to track program or operational activities; designs and creates standard and customized reports; establishes complex recordkeeping systems.
  • Develops program public information strategies. Develops and / or oversees the development of program promotional and educational outreach activities for the program area, including writing articles and fact sheets which require researching a variety of resources.
  • Develops systems, manuals, and forms for assigned area; writes instruction manuals describing procedures and requirements; may write newsletters and maintain websites; writes project proposal descriptions, handbooks, program procedures, management reports, and business correspondence.
  • Designs and presents formal program-related presentations including training sessions.
  • Represents the program area or department at task forces, committees, etc., as assigned.
  • May schedule, oversee the work activities of, and provide training to staff in lower classifications, temporary clerical employees and / or volunteers.
  • Performs a variety of program administrative duties such as preparing, coordinating, and overseeing program agreements, contracts, leases, and RFP's.

    Minimum Qualifications

    Experience

    Four years of progressively responsible paraprofessional experience in the program or operational area or a related field, including at least two years of experience at the paraprofessional journey-level

    Education

    Equivalent to an Associate degree with major course work in the area of assignment, or in public administration, business administration, or a related field.

    Background

    Working Conditions

    Positions involve light physical work, including walking, standing, stooping, occasional carrying and lifting lightweight materials (under 20 pounds). Regular focus on a computer screen; requires visual acuity and depth perception to recognize words and numbers; hand / eye coordination to use a computer keyboard and common office equipment. Daily sitting for prolonged periods. Requires speaking and hearing ability sufficient to hear over the phone, carry on conversations, and participate in meetings.
