The Portal Specialist / Sales and Use Tax Coordinator is a dual-role position responsible for managing digital portals used for customer invoicing, while ensuring compliance with sales and use tax regulations across multiple jurisdictions. This role requires strong technical aptitude, attention to detail, and the ability to collaborate across departments.
Key Responsibilities :
Portal Specialist Duties :
- Submit and manage invoices via customer-specific portals (e.g. Ariba, Coupa, SAP)
- Monitor portal activity to track payments, disputes, and remittance details
- Resolve invoice rejections, short payments or disputes by coordinating with internal departments (Sales, Customer Service) and external customer
Sales and Use Tax Coordinator Duties :
Interact with customers to obtain sales tax exemption certificatesReview and validate sales and use tax sales tax exemption certificates with frequent order review to confirm correct tax statusStay current on changes in tax laws and regulations and apply updates to processesAssist with internal and external audits by providing documentation and support5+ years' experience with sales and use taxStrong communication, time management and organizational skillsHigh attention to detail and data accuracyStrong working knowledge of Microsoft Excel and ERP systemsPreferred Qualifications :
Experience with Microsoft Dynamics NAVFamiliarity with tax software (e.g., Avalara) and ERP systemsProficiency in supplier / customer portals (Ariba, Taulia, Coupa, WAWF, etc.)
