Assistant Facilities Manager

The Assistant Facilities Manager supports the Facilities Manager in overseeing the operations, maintenance, and safety of a corporate office environment. This role requires a proactive person who can organize and lead projects, coordinate vendor services, and ensure a professional, efficient, and safe workplace for employees and visitors. The ideal candidate demonstrates strong leadership, communication, project management and problem-solving skills, proficiency in finance, and has previous experience working in an office environment.

Key Responsibilities :

  • Lead and supervise custodial, maintenance, and support staff, fostering a culture of accountability and teamwork
  • Coordinate office space planning, workstation setups, and employee moves in collaboration with HR and IT
  • Oversee vendor relationships and service contracts for cleaning, landscaping, security, and maintenance
  • Ensure compliance with corporate policies, safety regulations, and environmental standards
  • Respond promptly to facility-related service requests and emergencies
  • Support budget planning and cost control for facility operations and capital projects
  • Own and be accountable for small and medium sized projects
  • Maintain accurate records of inspections, maintenance schedules, and service logs
  • Participate in business continuity and emergency preparedness planning
  • Promote a clean, safe, and welcoming office environment aligned with company values

Qualifications :

  • 5+ years of experience in facilities operations, preferably in a corporate office setting
  • Proven experience in team leadership or supervisory roles
  • Strong understanding of building systems and office infrastructure
  • Proficiency in Microsoft Office and with project planning and management tools
  • Excellent organizational, interpersonal, and problem-solving skills
  • Preferred Qualifications :

  • Experience managing a reservable desking environment
  • Proficiency in office moves and restacks, and move management
  • Facilities Management Professional (FMP) or Certified Facility Manager (CFM)
  • College Degree preferred
  • First Aid / CPR Certification
