Advanced Recovery Specialists is seeking a DME Order Verification Specialist to join our growing team! This role ensures accuracy and completeness of orders, including patient and insurance information, to enable prompt processing and billing.

The specialist serves as an initial point of contact for patients, gathering clear information, setting expectations, and delivering an excellent customer experience while maintaining HIPAA compliance.
Primary responsibilities include :
- Patient Outreach & Verification
- Contact patients via phone, SMS, and / or email to verify demographic, insurance, and billing-related information
- Order & System Updates
- Accurately update orders and associated tasks in NetSuite, ensuring all verified information, notes, and supporting documentation are attached.
- Route / assign payer accounts per SOP for DaisyBill-eligible payers; document and close tasks when not DaisyBill-eligible
- Patient Handoff & Communication
- Set clear expectations with patients regarding order fulfillment, including follow-up timelines for shipping and product overview calls.
- Provide empathetic, professional communication to ensure patients feel informed and supported.
- Collaboration & Escalation
- Partner with Billing, Customer Service, and other internal teams to resolve missing, conflicting, or unclear information
- Compliance & Quality Assurance
- Safeguard patient confidentiality in accordance with HIPAA and company policy.
- Maintain high standards of data entry, accuracy, and quality in all documentation
- Cross-Functional & Administrative Support
- Assist with departmental projects, audits, and process improvement initiatives.
- Support colleagues during peak workloads or staff absences.
- Contribute to the continuous improvement of verification workflows and best practices

13 years of experience in medical order processing, insurance verification, billing support, or related healthcare administrative role.Knowledge of workers comp terminology (policy / claim #, adjuster, attorney).Prior experience with NetSuite, Dialpad and BOX (highly desired but not mandatory).Familiarity with DaisyBill or payer portal workflows.
