Job Description

Choate USA is seeking a highly organized and detail-oriented Business Development Administrator (BDA) to support our Outside Sales operations in our different markets. The ideal candidate will have strong administrative skills, a proactive work ethic, and the ability to manage multiple responsibilities in a fast-paced, team-oriented environment.

Our expertise spans irrigation, landscape, pavers, synthetic turf, and site furnishing scopes for new construction. We proudly serve a diverse range of commercial customers, including general contractors, architects, and end-users. Position Overview

The Business Development Administrator will assist with day-to-day sales activities, including vetting project opportunities, maintaining accurate records in Salesforce, coordinating communication between teams, and supporting both pre- and post-sales processes. This role is essential to ensuring that all opportunities and project documentation are handled efficiently and accurately.

Key Responsibilities

Sales Support

  • Review and vet incoming job opportunities.
  • Input Invitations to Bid (ITBs) into Salesforce and maintain organized records.
  • Coordinate with estimating to address project questions and scheduling.
  • Research new general contractors through plan rooms and ITB platforms.
  • Order deliveries requested by outside Business Development Representatives.
  • Maintain data in Salesforce.
  • Help with the day-to-day duties of the Outside Sales Rep.

Post-Sales & Administrative Tasks

  • Assist with Accounts Receivable follow-up and update emails.
  • Track submittals and irrigation shop drawings.
  • Prepare and track change orders within Salesforce.
  • Coordinate delivery of samples and closeout documentation.
  • Maintain organized shared folders and ensure daily file management.
  • Daily Routine

  • Participate in daily start-up calls to review priorities.
  • Review follow-up lists through Salesforce dashboards.
  • Maintain an updated shared calendar for team coordination.
  • Qualifications

  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency with Salesforce or similar CRM systems preferred.
  • Prior experience in construction, landscape, or irrigation industry a plus.
  • Compensation and Benefits

    Salary Range : $35,000 – $70,000 annually, based on experience

    Job Type : Full-time

    Schedule : Monday through Friday; weekends as needed
