Description : Job Summary

The front desk receptionist is the first point of contact for our company. The receptionist will greet guests entering the building and help direct them to the right place. Responsible for answering and managing the phones. We are a large company with multiple entities, and the job and be fast paced with little downtime.

Responsibilities

  • Offering administrative support across the organization
  • Greet and welcome guests as soon as they arrive at the office, providing directions and alerting staff when someone is there to meet or visit them.
  • Answer a multiple line phone system, manage calls by routing them to the proper extensions or taking messages and delivering them.
  • Keeps a safe and clean reception area by complying with procedures, rules, and regulations.
  • Assist new applicants who come into the building to apply for positions.
  • Orders office supplies and keeps up with inventory.
  • Performs other clerical responsibilities such as sorting mail, FedEx labels, certifying mail, faxing, scanning, and making copies.
  • Learn about the different companies, departments, and essential personnel.
  • Process sale orders and provide invoices for our Poquito beans.
  • Process sales orders for hats.
  • Maintain petty cash box.
  • Distribute payroll checks on Thursday’s and Friday’s, learn who the supervisors are and verify ID’s when employees pick up their checks.
  • Upon employee request, provide copies of their payroll paystubs from Paylocity
  • Maintain and create payroll timecard label.
  • Assist employees with common questions to our payroll debit card program.
  • Maintain delivery room by notifying department / personnel.
  • Ability to cover both shifts if one of the receptionists calls in sick or goes on vacation.

  • High School Diploma
  • 1-2 years or related administrative experience
  • Familiarity with phone systems
  • Previous experience with Microsoft Office Software
