Associate Vendor Management Coordinator

Remote in EST or CST

Long-term contract

Key Responsibilities

Project Closeout & Financial Administration

  • Support construction project closeout activities and ensure required documentation is complete and compliant.
  • Track and report on the status of contractor and vendor closeout submissions.
  • Perform purchase order (PO) analysis and reporting to identify and resolve outstanding items.
  • Partner with Procurement and other stakeholders to address vendor payment issues and close open purchase orders.
  • Assist with accrual reporting and year-end financial closeout activities.

Vendor Management & Support

  • Coordinate vendor onboarding activities, including system access, training, and ongoing support.
  • Provide guidance and troubleshooting assistance related to financial forms, documentation requirements, and closeout processes.
  • Maintain vendor data and support vendor compliance initiatives.
  • Monitor vendor utilization and support reporting, quality control, and continuous improvement efforts.
  • Assist with vendor communications and administrative support for sourcing and proposal processes.

Project & Operational Support

  • Support construction project initiation and bid administration activities.
  • Track key project metrics and generate operational reports.
  • Assist in resolving vendor operational issues and payment-related concerns.
  • Collaborate with cross-functional teams to improve processes and ensure timely project execution.
  • Support strategic initiatives related to vendor management and project delivery.

Qualifications Required

  • Bachelor's degree preferred.
  • 5+ years of related experience in construction administration, project coordination, vendor management, procurement support, or a similar field.
  • Strong organizational skills with the ability to manage multiple projects and competing priorities.
  • Excellent written and verbal communication skills.
  • Experience supporting financial, contract, or project closeout processes.
  • Ability to work independently in a remote or hybrid environment while collaborating effectively with cross-functional teams.

Preferred

  • Experience supporting construction, facilities, or capital project programs.
  • Intermediate to advanced Microsoft Excel skills, including Pivot Tables, VLOOKUP/XLOOKUP, data analysis, and reporting.
  • Experience with project management or construction management software.
  • Strong problem-solving skills and a solution-oriented mindset.
  • Experience working with vendors, contractors, and procurement organizations.
