Job Title Legal Processing Assistant III What We Offer Merit Increases – New employees are eligible for an initial 5% merit increase within the pay range upon completion of at least 1,040 hours (approximately 6 months). Subsequent merit increases are awarded each additional 2,080 hours (approximately one year) from the initial increase. Responsibilities Process legal documents and records through the office, courts, and related agencies, ensuring conformance with established rules and procedures. Maintain reference materials, record systems, status logs, and workload statistics; classify, store, retrieve, and purge files as required. Prepare a variety of legal documents (summons, complaints, motions, briefs, declarations, jury instructions) and staff reports from dictation, handwritten, typed, or voice‑recorded drafts, correcting grammar, spelling, punctuation, and format. Serve legal process, evaluate prior actions, and file necessary information to support/expose legal actions. Provide case and procedural information to the public, clients, law enforcement, or other employees, distinguishing sensitive and public data. Coordinate courtroom filings, ensuring all documents are properly formatted and the court calendar is maintained. Prepare correspondence and legal forms using standard word processing tools. Accompany attorneys to court, noting case details and drawing attention to procedural matters. Schedule and coordinate court appearances for witnesses or defendants, maintaining case status and communication with involved parties. Compute fees, issue receipts, prepare deposits or cash statements, and produce work unit reports as needed. Lead legal processing staff and provide guidance to general clerical support staff; prepare work unit reports. Perform other related duties as assigned. Qualifications Education, Training, and Experience Three years of legal clerical or legal secretarial experience, including legal document preparation and processing and the application of specialized law enforcement/legal court procedure in a specific specialty area (e.g., criminal defense, criminal prosecution, or witness liaison). OR one year as a Legal Processing Assistant II with the County of Ventura. Necessary Special Requirements Knowledge of Microsoft Office applications such as Word, Excel, and PowerPoint. Bilingual skills (if applicable). Knowledge, Skills, and Abilities General office practices and procedures. Legal terminology, procedure, and processes applicable to the assigned office. Legal and general record‑keeping systems and file maintenance methods. Office resource reference materials. Specialized typing formats and legal documents used in the assignment area. Grammar, spelling, and punctuation. Basic math. Ability to understand, interpret, and apply laws, regulations, and policies governing clerical processing operations.
