About the Role

As Payroll Coordinator, you will be responsible for managing all aspects of weekly payroll for approximately 250 employees across multiple locations. This role requires a strong attention to detail, excellent communication skills, and a solid understanding of payroll best practices. You'll collaborate with production managers, supervisors, and the accounting team to ensure accuracy, compliance, and timeliness in every payroll cycle.

Key Responsibilities

  • Process weekly payroll for hourly / salaried employees using QuickBooks
  • Prepare weekly / monthly / EOY payroll reports for internal review / auditing
  • Collect / verify timecards / vacation hours / overtime / other pay-related data from production facilities
  • Communicate with production managers / supervisors to ensure hours are accurate & submitted on time
  • Maintain payroll records / employee data / compliance with all applicable labor / tax regulations
  • Collaborate with Controller & bookkeeping team to ensure accurate payroll entries / reporting
  • Manage deductions / benefits / garnishments as required
  • Employee inquiry response related to pay, timekeeping, PTO balances
  • Assist with process improvements to streamline payroll operations / ensure consistency across facilities

Requirements

High school diploma or higher.

Minimum 3 years of experience in payroll administration or coordination (manufacturing or multi-site experience preferred).

Proficiency with QuickBooks payroll systems and Microsoft Excel.

Knowledge of payroll laws, tax withholdings, and overtime regulations.

Strong organizational skills, attention to detail, and confidentiality.

Ability to collaborate effectively with both office and production teams.
