Job Purpose :

Apply basic project management principles to work with affiliated companies to prepare, maintain, and report project information.  Serve as back-up administrative and operations point person for the Chairman to ensure smooth functioning of activities and processes in multiple lines of business when the Executive Administrator is occupied or out of the office.

DUTIES & RESPONSIBILITIES : Duties will include, but are not limited to the following :

  • Contributions & Special Project Manager :
  • Follow established procedures for all Affiliated Company Contributions through the Chairman’s office.
  • Coordinate requests, streamline documentation, verify contribution status, and maintain contribution databases.
  • Office Manager :
  • Order and maintain office supplies.
  • Basic filing duties.
  • Administrative Assistant : To ensure seamless support for the Chairman whenever the Executive Administrator is occupied or out of the office :
  • Make sure reception area is fully covered and its processes are completed.
  • Receive and place phone calls on behalf of the Chairman.
  • Maintain the Chairman’s inbox and outbox with daily reports, memos, and other key documents as needed.
  • Maintain established hard copy and electronic filing system.
  • Scan, copy, print and fax information and documents as needed or requested.
  • Prepare draft written responses and send documents / correspondence as requested.
  • Open, sort and distribute mail.
  • Hand deliver documents as requested.
  • Be responsible for special assignments as requested.
  • Provide back-up support to other employees as needed and as directed.
  • JOB REQUIREMENTS (SKILLS / ABILITIES) :

  • Punctual, dependable and reliable.  Note : All work is performed in the business office location only.
  • Possession of strong organizational skills.
  • Must have a high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
  • Ability to deal effectively and tactfully with a wide variety of individuals in person, via telephone and in writing.
  • Ability to work in a positive and cooperative manner with fellow team members.
  • Must possess strong attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
  • Capability to work in fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
  • Ability to work independently on assigned tasks as well as to accept direction on given assignments.
  • Knowledge of MS Office (Word, Excel, PowerPoint, Outlook).
  • EXPERIENCE / EDUCATION :

  • 4-7 years of administrative level support.
  • Associate's Degree preferred.
  • The actual base pay offered is determined by several variables, including, as appropriate, the applicant's qualifications for the position, years of relevant experience, distinctive skills, level of education attained, certifications or other professional licenses held.  Base pay is one component of B. F. Saul Company & Affiliates total compensation package, which also includes access to or eligibility for healthcare benefits, a 401(k) plan, short-term and long-term disability coverage, basic life insurance, bonus plans and more.
