Overview
We’re looking for an experienced Executive Assistant to support the CEO of an entertainment firm. This role is ideal for a highly organized, intuitive professional who thrives behind the scenes, someone with impeccable judgment, strong communication skills, and a natural sense of style when it comes to brand, presentation, and culture.
You’ll serve as an extension of the CEO, managing priorities, streamlining communication, overseeing scheduling and logistics, and maintaining alignment across internal and external relationships. Prior experience supporting talent or working in the music or entertainment industry is highly preferred.
Key Responsibilities
Executive Support
- Manage a fast-paced calendar, meetings, travel, and cross-time-zone coordination while acting as a strategic gatekeeper and maintaining alignment with priorities.
- Oversee email and communication flow, draft correspondence, and ensure timely follow-ups and deliverables.
- Coordinate calls, meetings, and events with artists, clients, and industry partners, preparing materials and briefings as needed.
- Oversee daily office operations and support the Office Manager in maintaining a professional, creative environment.
- Plan and assist with team events, gifting, and client experiences.
- Coordinate detailed domestic and international travel, prepare itineraries and travel briefs, and handle real-time adjustments.
- Represent the CEO in communications with internal and external stakeholders, ensuring clarity, professionalism, and brand alignment.
- Support key projects and initiatives through organization, communication, and hands-on execution.
Qualifications
5+ years of experience as an Executive Assistant or in a senior coordination role within the music, entertainment, or creative industries.Highly professional, emotionally intelligent, and discreet.Intuitive, proactive, and able to anticipate needs before they arise.Service-minded and hands-on—no task is too small when supporting the bigger vision.Strong writing and editing skills; visually and verbally polished.Comfortable in a fast-paced, artist-driven environment that values flexibility, creativity, and collaboration.Proficient in Google Workspace, Slack, and Apple OS.Comfortable in a casual, dog-friendly office setting.Preferred Experience
Prior experience supporting a talent manager, touring artist, or executive in the music or entertainment space.Familiarity with the touring ecosystem (routing, press, production, or promo).Background in design, merchandise, or creative marketing.Experience planning or managing high-touch events and activations.Compensation & Benefits
