We are looking for a full time Program Coordinator to support our Parish Social Ministries program by assisting with volunteer coordination, team oversight, training support, and administrative operations. This role ensures high-quality service delivery through data tracking, parish and community relationship building, event coordination, and timely response to program inquiries. The position includes occasional evenings and weekends and requires travel throughout the Diocese of Madison to support parish ministries.

Professional Operations
- Assists with team formation and volunteer recruitment, as needed.
- Visit teams for oversite of service delivery and quality assurance, as directed.
- Assists leaders and volunteers in problem solving situations, training needs, and best practices.
- Ensure training of assigned teams and volunteers.
- Establish and maintain relationships with area resources and parishes.
- Helps ensure program services meet Catholic Charities' standards by identifying and reporting any concerns or gaps to the supervisor.
Marketing and Public Relations
- Assist with gathering stories, updates, and program highlights to be included in promotional materials and social media.
Administration and Support
- Collects and tabulates program statistics, outcomes, and data to support reporting.
- Responds to all incoming program inquiries in a timely manner, referring individuals to other community resources as appropriate.
- Assist with planning and coordination of events and program wide training.
- Collects and enters invoices for supervisor review and approval.
- Provides general administrative support, including producing communications, managing mailings, preparing printed materials, and maintaining program documentation.
Qualifications
- High School diploma with one year of relevant experience is preferred.
- Ability to work independently and as part of a team.
- Comfortable interacting with parish staff, volunteers, and community members in a professional manner.
- Excellent communication, problem solving, and organizational skills.
- Basic knowledge of Microsoft Office programs (Word and Excel) is preferred.
- Experience in data collecting, tracking, and reporting is preferred.
- A reliable vehicle with a valid driver's license, appropriate proof of auto insurance coverage, and a satisfactory driving record is required.
- Ability to walk, stand, lift, stoop, squat, bend, reach, push, and pull as needed, with tasks performed on a moderate basis.
Unique to the position :
- Availability to occasionally work evenings and weekends.
- Willing and able to drive to all locations within the Diocese of Madison to promote and support Parish Social Ministries.
