We are seeking a strong Operations Analyst to support our client's digital initiatives. In this role, you will own the day-to-day orchestration of the digital organization's initiation and intake : drive checklists to completion, send the right reminders at the right time, and capture defensible evidence of approvals and completion. You'll make the process predictable, auditable, and fast without dropping details.
What You Will Do :
Operational orchestration
- Run the end-to-end Digital initiation workflow (request intake → approvals / orchestration → handoff), ensuring nothing stalls between steps.
- Maintain and continuously refine reviewer checklists (Data Governance, Security, Privacy, QA, Procurement, Finance, PMO, etc.) with clear SLAs and exit criteria.
- Coordinate stakeholders and escalate blockers
Reminders, communications, and SLAs
Share reminders (owner, due date, SLA breach warnings) via Teams / Email; tailor cadence by step criticality.Publish weekly rollups : items due / overdue, cycle time trends, SLA attainment, and aging queues.Evidence and audit trail
Capture and file "evidence packs” of approvals and completion : email approvals, Teams conversation exports / screenshots with timestamps, signed forms, ticket closures, and system logs.Apply consistent naming / metadata (request ID, step, approver, date / time, version) and retention labels.Deliverables
Up-to-date intake board with clean data and owner / ETA on every active item.Standardized evidence packs per request (folder + index).Weekly status pack (rollup, risk / issue list, decisions log).Required Skills and Experience
2-3+ years in operations coordination or PMO / admin for intake / onboarding, preferably in data / IT, shared services, and regulated environments.Experience running checklists across multiple teams and holding SLAs without heavy supervision.Strong documentation discipline and audit mindset; comfort with evidence standards and records management basics.Strong Excel skillsExcellent written communication; crisp escalation and stakeholder updates.Pharma / biotech exposure and familiarity with data governance, privacy (GDPR / HIPAA), and basic GxP concepts.Experience with Microsoft 365 ecosystem (Teams, SharePoint)Join Our Team at Atlas
