Executive Assistant

Job description We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative support to our senior leadership team.

The ideal candidate will be a self-starter with excellent communication skills, capable of managing multiple priorities in a fast-paced environment.

Job Summary The Executive Assistant will play a crucial role in ensuring the smooth operation of daily administrative functions for our executives.

This position requires a high degree of professionalism, discretion, and the ability to anticipate needs and proactively address them.

Responsibilities Manage complex calendars, including scheduling meetings, appointments, and travel arrangements (domestic and international).

Coordinate and prepare for meetings, including drafting agendas, compiling presentations, taking minutes, and following up on action items.

Handle confidential information with the utmost discretion and integrity.

Prepare and edit correspondence, reports, presentations, and other documents.

Act as a primary point of contact for internal and external stakeholders, screening and directing calls and inquiries as appropriate.

Process expense reports and manage invoices.

Organize and maintain physical and electronic filing systems.

Assist with special projects and events as needed.

Anticipate executive needs and proactively bring together appropriate people and resources to support the executive in addressing issues.

Qualifications Proven experience as an Executive Assistant or in a similar administrative role, supporting senior-level executives.

Exceptional organizational and time management skills, with the ability to prioritize and manage multiple tasks simultaneously.

Strong verbal and written communication skills.

Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant software.

High level of professionalism, integrity, and discretion.

Ability to work independently with minimal supervision and as part of a team.

Problem-solving aptitude with a proactive and resourceful approach.

Bachelor's degree preferred, or equivalent practical experience.
