Job Title : Assistant Community Manager

Property : The Vive Collection - 1,245 Unit Community

Location : San Diego, CA

Reports to : Community Manager

Supervisory Responsibilities : None

Position Summary

The Assistant Community Manager (ACM) is a business leader and the essential "right hand" to the Community Manager. You will be responsible for co-managing all operational and financial aspects of this large-scale, fast-paced community. The ideal candidate is a strong leader with deep expertise in property management financials, resident relations, and team development. You will be instrumental in driving revenue, controlling expenses, and ensuring a best-in-class resident experience.

Core Responsibilities

1. Team Leadership & Development

  • Supervision : Assist the Community Manager in leading and mentoring a large on-site team (e.g., Leasing Consultants, Resident Services).
  • Training : Support the training and development of team members, particularly in areas of leasing, Fair Housing, and customer service.
  • Performance : Help manage team performance : providing feedback and contributing to performance reviews.
  • Leadership : Act as the primary leader and point of contact for all property operations in the Community Manager's absence.

2. Financial Management & Reporting

  • Rent Collection : Drive the entire rent collection process, diligently managing delinquency, posting payments, and enforcing policies.
  • Resident Ledgers : Maintain 100% accuracy of resident ledgers, including processing move-in / move-out prorations, managing concessions, and correcting charges.
  • Financial Reporting : Assist the Community Manager with daily, weekly, and monthly financial reports, variance analysis, and owner reporting.
  • Budgeting : Contribute to the annual budget preparation and actively monitor operational expenses to ensure compliance.
  • Invoicing : Process and approve all property invoices (A / P) in a timely and accurate manner.
  • Move-Outs : Manage the Final Account Statement (FAS) process, ensuring all charges are accurate and statements are processed within legal timeframes.
  • 3. Leasing & Resident Relations

  • Escalations : Serve as the primary point of contact for escalated resident concerns, resolving complex issues with professionalism and a solutions-oriented mindset.
  • Leasing Support : Review and approve all new lease applications, ensuring files are complete and compliant with all screening policies.
  • Retention : Help develop and execute the community's resident retention strategy and event planning.
  • Customer Service : Model and enforce the company's high standards for customer service, ensuring the entire team delivers a positive and professional experience.
  • 4. Operations & Compliance

  • Property Walks : Regularly walk the property to ensure curb appeal, maintenance, and capital projects meet company standards.
  • Audits : Conduct regular audits of lease files, move-in files, and property records to ensure 100% compliance.
  • Policy : Enforce all community policies and procedures consistently and fairly.
  • Compliance : Maintain expert-level knowledge of all local, state, and federal Fair Housing laws.
  • Key Performance Indicators (KPIs)

    Success in this role will be measured by the following metrics :

  • Financial KPIs :
  • Below 0.50% : 25% of Bonus

  • Below 0.35% : 50% of Bonus
  • Below 0.25% : 100% of Bonus
  • Total Delinquency : Consistently maintain total rent delinquency at or below .5% of Gross Potential Rent (GPR).
  • Bad Debt Write-Off : Manage collections effectively to keep bad debt write-offs at or below 0.25% of GPR.
  • Operational KPIs :
  • 30-day forward-looking outstanding renewals less 15%

  • 60-day forward-looking outstanding renewals less than 25%
  • Physical Occupancy : Contribute to achieving and maintaining a physical occupancy of 95%+ or higher.
  • Resident Retention : Achieve or exceed the community's resident retention goal of 55%+ renewal conversion rate.
  • FAS Timeliness : Ensure 100% of all Final Account Statements (FAS) are completed accurately and mailed within the state-mandated timeframe.
  • Compliance & Satisfaction KPIs :
  • File Audit Score : Achieve a score of 98%+ on all internal and external lease file audits.
  • Resident Satisfaction : Maintain or improve resident satisfaction scores (e.g., SatisFacts, Google, or internal surveys) to meet or exceed a 4.5 out of 5.0 average.
  • Issue Resolution : Acknowledge all escalated resident issues within two business hours and ensure resolution within 24 business hours.
  • Qualifications & Skills

  • Experience : Minimum 3-5 years of experience in property management, with at least 2 years in an Assistant Community Manager role.
  • Property Size : Experience at a large-scale (300+ unit) community is highly preferred. The ability to manage high-volume operations is essential.
  • Software : Proficiency with property management software is required (e.g., Yardi, RealPage, Entrata).
  • Financial Acumen : Must possess strong financial skills, with deep experience in managing delinquency, resident ledgers, and reporting.
  • Leadership : Proven ability to lead, motivate, and manage a team.
  • Customer Service : Exceptional conflict resolution and customer service skills.
  • Pace : Must be highly organized, detail-oriented, and able to thrive in a fast-paced, high-pressure environment.
  • Education : High School Diploma or equivalent required; Bachelor's degree preferred.
  • Certification : CAM (Certified Apartment Manager) or ARM (Accredited Residential Manager) designation is a significant plus.
