Job Description :

PURPOSE : Bowie State University’s Conference & Event Services team is seeking a highly organized and knowledgeable Events & Youth Camp Manager to oversee the planning, execution, and management of university-hosted and external youth camps, programs, and events. This position plays a key role in ensuring compliance with the State of Maryland and Prince George’s County regulations for youth programming and supports the university’s external event rental operations.

DUTIES & RESPONSIBILITIES

Youth Camps & Programs Coordination

  • Serve as the lead manager for all youth camps and programs hosted on campus.
  • Ensure full compliance with all State of Maryland and Prince George’s County regulations governing youth camps, including but not limited to :

Staff background checks and fingerprinting

  • Child protection and safety training
  • Emergency management and response plans
  • Medical and consent documentation
  • Maintain accurate records of required documentation and coordinate with internal departments (e.g., HR, Risk Management, Campus Safety) to meet compliance standards.
  • Support university-sponsored and external youth programs from inquiry through post-program wrap-up, ensuring a safe, efficient, and high-quality experience for all participants.
  • Event Management

  • Assist with coordination and execution of campus events, including university functions and external rentals.
  • Serve as a point of contact for external groups renting space, helping them navigate university processes and ensuring contract requirements are met.
  • Support logistics such as space reservations, setup / teardown, A / V coordination, catering, and guest services.
  • Work closely with campus partners (Facilities, Public Safety, Dining Services, etc.) to ensure seamless event execution.
  • Administrative & Operational Support

  • Help process external rental contracts, track event details, and maintain scheduling documentation in event management software.
  • Communicate and coordinate with clients, vendors, and university departments as needed.
  • Work with the Accounting Specialist to coordinate billing, invoicing, and payments.
  • MINIMUM QUALIFICATIONS

  • Bachelor’s degree in Event Management, Recreation, Hospitality, Education, or related field.
  • Minimum 2 years of experience managing youth camps or programs in Maryland.
  • Thorough knowledge of State of Maryland COMAR regulations and compliance requirements for youth programs.
  • At least 2 years of event planning or coordination experience.
  • Demonstrated ability to manage multiple projects and deadlines.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and organizational skills.
  • Ability to work evenings, weekends, and extended hours as required by event schedules.
  • PREFERRED QUALIFICATIONS

  • Experience coordinating events or youth programming at a college or university.
  • Familiarity with campus event scheduling systems (e.g., 25Live).
  • CPR / First Aid and youth protection certifications a plus.

    This position is a full-time, in-person role with the expectation that additional hours, including nights and weekends, may be necessary to meet deadlines and support events.
