Job Summary
The Document Controller manages documents, including creating, storing, retrieving, and distributing of technical
drawings, reports, and records. They ensure document accuracy, proper version control, and compliance with
regulatory standards.
Key Responsibilities
Managing digital and physical filing systems, collaborating with project teams, and maintaining data security.
Setting up, maintaining, and controlling document management systems.
Ensuring the latest, approved versions of documents are used, while archiving outdated materials.
Distributing documents to authorized personnel and assisting team members in finding records.
Reviewing, auditing, and editing documents for accuracy, proper numbering, and formatting.
Ensuring all documentation complies with industry standards and legal requirements, while protecting confidential
information.
Training staff on document management systems, procedures, and best practices.
Collaborate with cross-functional teams, including department heads, supervisors and team members to SOPs.
Manage Corrective Actions and ensure policies, procedures and SOPs are updated as needed.
Assist with internal and external audits as needed.
Required Skills :
Software Proficiency :
Strong knowledge of MS Office (Word, Excel) or Google Work Space, Adobe Acrobat, and Affinity Suite.
Attention to Detail :
High precision in identifying errors in technical documents and maintaining accurate records.
Communication :
Effective interpersonal skills to coordinate between various teams and stakeholders.
Organizational Skills :
Proven ability to manage large volumes of files and maintain tight organization under tight project deadlines.
