What You'll Do :

As our Accounts Payable Specialist , you'll play a key role in our Accounting Department by managing all aspects of Accounts Payable and providing support to Payroll. You'll help keep our financial operations running smoothly while working in a collaborative and fast-paced environment.

Your key responsibilities will include :

• Processing company-approved invoices for payment in Bill.com
• Setting up new vendors, maintaining vendor files, and managing W-9 and Certificate of Insurance (COI) records
• Scheduling recurring payments (rent, janitorial, lawn services, etc.)
• Verifying correct branch and GL coding for all invoices
• Handling stop payments, check voids, and maintaining the outstanding check register
• Preparing and filing monthly sales tax reports
• Responding to vendor and employee inquiries and resolving invoice discrepancies
• Preparing 1099 files in Sage Intacct for import into Tax Bandits
• Managing the corporate / purchasing card system through Divvy (Bill.com)
• Completing monthly accrual and deferral journal entries
• Serving as the primary backup for Payroll , including payroll processing, employee action notices, and 401(k) file submissions
• Assisting with daily cash entries and other special accounting projects as needed
