Job Description

The HR & Office Administrator plays a key role in supporting both HR operations and day-to-day office management. This position provides essential HR administrative support and ensures the office runs smoothly and efficiently. The role requires strong attention to detail, discretion, and excellent organizational skills to manage multiple responsibilities across HR compliance and facilities administration. This is a part-time, office-based position working 3–4 days per week, with no work-from-home option.

Key Accountabilities

HR Administration & Employee Support :

  • Support onboarding and offboarding processes, including preparation of documentation.
  • Support HR reporting and administrative activities.
  • Maintain the integrity and confidentiality of all HR documentation.
  • Support in maintaining HR shared folders and documentation.
  • Take on basic HR administrative tasks to support colleagues, with the opportunity to expand responsibilities over time.
  • Act as a remote back-up to the Edinburgh, Scotland office when needed.

Office & Facilities Support :

  • Oversee shipping of laptops, headphones, and other IT equipment.
  • Monitor IT assets, including monitors, IT equipment room, and related hardware.
  • Coordinate with IT to resolve office-related technical issues (e.g., conference room equipment malfunctions).
  • Manage all office facilities matters, including liaising with cleaning staff, building front desk personnel, and arranging general maintenance (e.g., light bulb replacements).
  • Support the overall smooth running of the office and contribute to a safe, well-maintained, and efficient working environment.
  • Manage the office supplies and (online) ordering (e.g. office equipment, tea, coffee, and any additional items), maintaining the coffee machine.
  • Support any office events.
