Project Coordination Specialist

The Black Emotional and Mental Health Collective (BEAM) is a 501(c)(3) nonprofit organization dedicated to dismantling barriers to Black healing. We center mental health education, training, advocacy, and the creation of supportive spaces that empower Black communities to access mental health resources. BEAM fosters a culture of healing, liberation, and well-being through transformative practices and resources, with a mission to advance mental health and emotional wellness in Black communities.

BEAM is seeking an independent consultant ideally someone who already runs a virtual assistant, project management, digital media, or operations support practice to partner with our team on coordination and systems projects related to media and PR. The consultant will bring their own methods, tools, and best practices to ensure smooth project execution, transparent workflows, and clear communication across the organization.

This is a project-based engagement with flexibility in how work is performed. The consultant will own deliverables and determine the approaches, tools, and processes that work best to meet the agreed-upon outcomes.

The ideal candidate brings proven experience coordinating teams, building organizational systems, and managing deadlines, with a lens of equity, care, and accessibility. This contract is well-suited for someone who thrives on keeping details in order, helping teams stay aligned, and developing liberatory, justice-oriented systems that foster collaboration and sustainability.

Project Areas and Deliverables

  • Lead coordination of team projects and syncs by designing systems for scheduling, agendas, and follow-up in ways that align with your consulting practice.
  • Capture and distribute meeting notes / action items using your own tools and methods to promote accountability and follow-through.
  • Support media operations (e.g., website editing, content workflows) by determining the most efficient and effective processes for project completion.
  • Partner with staff and other contractors to align timelines and deliverables.

Project Management & Systems Building

  • Audit, improve, and maintain the team's project management dashboards and processes (e.g., Notion, SOPs, workflows) with discretion over how to structure systems for clarity and accessibility.
  • Proactively monitor project timelines and highlight risks, delays, or dependencies using your own methods for nudging progress and accountability.
  • Develop file organization, task-tracking, and internal communications systems drawing from your consulting expertise and preferred approaches.
  • Translate high-level ideas into actionable project plans, advising BEAM on the formats and tools that best fit its current capacity.
  • Review, improve, and maintain the team's Notion dashboards, standard operating procedures, and project tracking systems to ensure visibility of deadlines and priorities.
  • Support project timelines and documentation by nudging the team on next steps, flagging potential delays, and ensuring accountability.
  • Work with team members to create accessible systems for file organization, task tracking, and internal communications.
  • Help translate big-picture ideas into actionable steps and clear work plans.
  • Social Media Scheduling & Publication

  • Schedule and publish BEAM's approved social media content across multiple platforms using Buffer (Instagram, Facebook, LinkedIn, Twitter / X, TikTok, YouTube, and Threads).
  • Adapt captions, hashtags, and post formats to align with each platform's tone, audience, and technical requirements.
  • Ensure that all posts are published on time and reflect BEAM's visual identity, values, and messaging.
  • Track scheduled and completed posts to ensure even, consistent coverage across the week and month.
  • Liberatory Systems & Team Support

  • Apply a justice-oriented, liberatory perspective in designing systems that support accessibility, sustainability, and collective care.
  • Create processes that reduce overwhelm and strengthen collaboration, transparency, and equitable accountability.
  • Model an approach that balances accountability with flexibility, ensuring that systems foster well-being while meeting deliverables.
  • Required Qualifications and Skills

  • Operates an independent consulting business (VA, project management, operations support, Media and / or PR firm, etc.)
  • Demonstrated experience in team coordination, project management, or administrative support.
  • Demonstrated experience with digital media and social media platforms.
  • Experience building or maintaining systems with an emphasis on accessibility, clarity, and justice-oriented practices.
  • Proficiency with project management and collaboration tools; experience with Notion strongly preferred.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Clear, compassionate communicator who can both hold timelines and foster collaborative relationships.
  • Alignment with BEAM's mission and commitment to advancing healing justice, equity, and Black mental health.
  • Preferred Qualifications :

  • Background in psychology, mental health, social work, or related fields.
  • Experience with Notion, Adobe PDF Editor, Google Suite, and Excel.
  • Travel : We anticipate the work can be completed virtually, although there may be opportunities for occasional travel.

    Compensation : We anticipate the consultant will spend up to 15 hours per week supporting our team. The hourly rate is negotiable but anticipated to be $75-100 per hour.
