Ray-Jurgen is seeking a Service Coordinator to run the daily rhythm of our field service business. You'll schedule five technicians, generate quotes from our rate card, issue invoices, manage customer communication, and coordinate maintenance for our DOT-registered fleet. This role is central to service revenue flow, job profitability, and customer satisfaction.

Key Responsibilities

Scheduling & Dispatch

Plan and dispatch 10-15 service jobs per day using NetSuite Field Service Management software.

Balance technician skills, geography, and response priority to maximize utilization.

Monitor job progress, confirm parts readiness, and adjust schedules as needed.

Quoting & Invoicing

Create service quotes from standard rate cards within 24 hours of request.

Ensure accuracy of labor, travel, and materials before quotes are issued.

Generate and send invoices within three business days of job completion.

Coordinate with the Service Manager for non-standard pricing or complex scopes.

Customer Service

Serve as the first point of contact for incoming service requests.

Provide job status updates and confirm appointments.

Track open quotes, follow up on pending approvals, and record lost-job reasons.

Fleet Coordination

Manage scheduling and documentation for 14+ DOT-registered trucks and vans.

Coordinate preventative maintenance through Enterprise's Maintenance Program.

Track registrations, inspections, and vendor repair work.

Maintain compliance and records for all fleet assets.

Service Operations Support

Monitor and report KPIs : callback time, invoice lag, quote turnaround, lost-job rate.

Identify recurring scheduling or billing issues and recommend improvements.

Support the Service Manager on special projects or process improvements.

Qualifications

3+ years of experience in service coordination, dispatch, quoting, or billing.

Familiarity with rate-card or time-and-materials pricing models.

Strong computer skills; NetSuite FSM experience preferred.

Excellent organizational and communication skills.

Working knowledge of fleet maintenance or DOT compliance preferred.

Ability to work in a fast-paced, multi-tasking environment with accuracy and follow-through.
