Position Title : Donor Data Specialist

Department : Development

Reports To : Development Systems Manager

Job Classification : Part time / Non-Exempt

Summary

The Donor Data Specialist ensures the integrity of KARM’s donor databases and donor records. Responsible for all data entry, coding, queries, reports, and system-generated donor recognition and receipting. Provides donor (current and prospective) profile research in support of Development department goals.

Responsibilities :

  • Manage KARM constituent files utilizing CRM Platforms (Donor Perfect & Q-Giv), including all aspects of gift processing, tracking, acknowledgement, and trouble shooting
  • Maintain and configure coding systems; ensure system security and backups
  • Ensure accuracy of all data entered, including new gifts, pledges and updating of constituent information
  • Design and run queries, gift summaries, and reports; input and retrieve biographical and gift records
  • Ensure data integrity and cleanliness, accuracy of reports, prospect research, and overall system updates
  • Ensure donor recognition through computer-generated letters, acknowledgements, pledge reminders, receipts and records
  • Responsible for communication with first-time donors and new monthly givers
  • Responsible for communication regarding “Do Not Mail” request, memorials, honorariums and new members of the Shade Tree Circle
  • Train volunteers when necessary (for example, stuffing receipts, envelopes, and new donor brochures)
  • Communicate 2-4x a month with development team members who would have input on changes to campaigns and solicitations. Ensure all campaigns and solicitations are correct at the end of each month, in coordination with the Development Systems Manager, Stewardship Managers, Community Engagement Manager(s), and VP of Development
  • Field calls from donors wishing to give, or reply to voicemails in a timely manner
  • Train and supervise other employees working in the system; verify data accuracy
  • Develop and maintain self-auditing system to regularly review data and computer-generated reports to confirm accuracy and identify problems with software and custom processes and reports
  • Establish and produce a schedule of pledge reminders and timely mailings
  • Provide canned and custom database reports and analysis
  • Serve as a liaison between Development and the Finance department
  • Represent KARM appropriately to donors, volunteers, guests, visitors, and other community contacts
  • Perform other duties as assigned

Requirements :

  • Demonstrated commitment to Christian faith; evidence of spiritual maturity
  • BS or equivalent and 3+ years related experience in a non-profit setting, particularly with respect to donor tracking and reporting; experience with CRM and database platforms preferred
  • Able to deliver succinct information verbally, written, or orally
  • Excellent telephone and interpersonal skills
  • High comfort level with direct donor contact, generally by telephone
  • Demonstrated organizational, interpersonal, and leadership ability
  • Self-starter as well as an initiator; able to work with little direct supervision
  • Above average competency with Microsoft and database applications
  • Excellent keyboard skills
  • Ability to work in a team environment
  • Demonstrated competency in meeting deadlines and accomplishing departmental objectives
  • Acceptable eyesight (with or without corrective lenses) and hearing; able to sit at desk for long periods of time; ability to access file cabinets for filing or retrieving data; able to lift up to 15 pounds, walk, stand, sit
  • Ability to conceptualize data, whether readily observable, functional, structural, or composite characters of data
  • Able to apply rational systems to solve practical problems and deal with a variety of variables and to interpret a variety of instructions, whether written or oral
  • Strong numeric aptitude : analyze mathematical formulas, add, subtract, multiply and divide; determine decimals and percentages; utilize algebra and statistics
  • Working Conditions :

  • Office setting with long periods of sitting and keyboarding
  • Occasional local travel to various nearby locations
  • Occasional required attendance at KARM meetings or special events, sometimes during weekend or evening hours
