Job Overview : The Administrative Assistant & Title Clerk will be responsible for managing office operations, handling document preparation, and processing title and DMV-related paperwork. This role involves coordinating with clients, ensuring accurate documentation, and supporting overall office efficiency. Bilingual proficiency in Spanish is required to effectively serve our diverse client base.
Key Responsibilities :
Document Preparation : Assist clients with the preparation and completion of various documents, including title applications, vehicle registrations, and other paperwork required for DMV services.
Title Processing : Manage and process vehicle title transfers, registrations, and related transactions. Ensure all documentation complies with state regulations and DMV requirements.
Client Coordination : Communicate with clients in both English and Spanish to gather necessary information, provide updates, and address any questions or concerns regarding title and DMV services.
Office Management : Handle daily office tasks, including answering phones, managing emails, and organizing office supplies.
Filing and Documentation : Maintain accurate records of all documents and transactions. Ensure the confidentiality and security of sensitive information.
Scheduling : Coordinate appointments and meetings for title processing and DMV services. Manage calendars and ensure timely follow-ups.
Compliance : Stay updated on changes in DMV regulations and procedures. Ensure all documentation and processes adhere to legal and regulatory requirements.
Qualifications :
Education : High school diploma or equivalent; additional training or certification in office administration or related fields is a plus.
Experience : Previous experience in an administrative role and familiarity with title processing or DMV services is preferred.
Skills : Strong organizational skills, attention to detail, and the ability to multitask efficiently. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with title management systems is advantageous.
Bilingual Proficiency : Fluent in both English and Spanish, with excellent verbal and written communication skills in both languages.
