SUMMARY : The East-West Center (EWC) promotes better relations and understanding among the people and nations of the United States, Asia, and the Pacific through cooperative study, research, and dialogue. Established by the U.S. Congress in 1960, the Center serves as a resource for information and analysis on critical issues of common concern, bringing people together to exchange views, build expertise, and develop policy options.
The East-West Center Arts Program has enriched the Hawaii community and beyond through exhibitions, concerts, and educational activities focusing on arts of the Indo-Pacific region. Artists who are effective in bridging cultures are joined by EWC specialists in reaching out through programs that create better appreciation and understanding of our global community.
The Education-Arts team is seeking an on-site Arts Program Assistant for a limited, 12-month appointment (with possibility of extension, should funding be available). This position will organize and execute various administrative, fiscal, technical, and logistical tasks for projects including collections management, exhibitions, performances, workshops, group tours, artist residencies, and other related activities. The Arts Assistant will also be an immediate point of contact for providing information about Arts Program projects, as well as for organizing virtual and in-person educational activities.
MAJOR DUTIES :
- Administrative : Performs administrative / secretarial, fiscal, and logistical duties for the Arts Program in accordance with established EWC policies and procedures. Fiscal and administrative forms include, but are not limited to, Award Agreements, requisitions for encumbrance, authorizations for payment, participant payments, petty cash reimbursements, stipends, travel documents and completions, and check requests. Responsible for certain areas of project correspondence with participants, vendors, and collaborators. Maintains and updates Arts Program files, media, and supplies. Maintains accurate information in the activity calendar for visual arts, performing arts, and educational activities, both in-person and virtual, and maintains accurate reporting data for activities. Supports public communication channels, including Arts Program webpage, mailing lists, and social media accounts.
- Educational Outreach : Updates and maintains the units electronic database of schools, senior centers, educational and non-profit organizations, and individuals and community leaders involved with arts education and enrichment activities. Communicates new engagement opportunities and schedules in- person / virtual / hybrid activities including EWC Gallery tours, demonstrations, workshops, and discussions for K-college students, educators, and the public, often including local, national, and international audiences. Assists with development of related educational materials. Assists with the coordination and execution of K-college teacher workshops. Assists with recording, documenting, editing, archiving, broadcasting and dissemination of program activities.
- Visual Arts : Assists with project research, installation, display and shipping of art works and related objects. Assists with coordination of the EWC Gallery and related event scheduling, event setup and documentation, and enforcement of rules and regulations. Supports the maintenance, display, and digitization of the EWC Collection.
- Performances : Assists with project research, logistics and scheduling of activities for performing artists, and preparation of program notes. Assists with technical stage and touring logistics as needed. Assists with public event promotion, scheduling, ticketing, event setup and documentation, and enforcement of rules and regulations. Supports in-person, virtual, and hybrid performance projects.

SUPERVISION : The incumbent works under the general supervision of the Arts Program Manager, with occasional guidance and direction also given from the Curator. The incumbent will exercise a high degree of initiative and independence in carrying out program activities; works independently on continuous assignments; handles problems and deviations as they arise; and may take some problems along with possible solutions to the supervisor for advice and approval. The supervisor will assign work and define outcomes, priorities, and deadlines accordingly.
REQUIRED QUALIFICATIONS : Education & Experience At least four (4) years of combined education and experience with educational arts programming that focuses on a diversity of cultures. Experience with a broad range of Asia Pacific visual and performing art forms, and with creative, impactful, and educational programming to a variety of audiences including K-12, higher education, and the general public.
Communication Strong written and verbal communication skills. Must be able to effectively communicate and interact with people of diverse backgrounds and abilities in person, on the phone and in digital environments.
Demonstrated Ability To interpret, organize, and carry out assignments by independently determining applicable policies and procedures and applying them towards directives and outcomes; to take initiative and work cooperatively in following through on assignments; to organize time, tasks, and materials efficiently; to work effectively and deal pleasantly and helpfully with people of diverse cultural backgrounds; to inspect, diagnose problems, and complete work in a timely and effective manner; to adapt to changing scenarios and communicate effectively in both verbal and written forms; to present information and ideas clearly and concisely; and to exercise appropriate judgment and accept responsibility.
Knowledge of office practices and procedures; of correct English grammar, punctuation, spelling, and word usage; and of general office machines and equipment. Competency with various computer software (or their equivalents) relating to general office, social media, communications, content management, and media creation / editing tasks including : Microsoft Office suite, Adobe suite, ArtBase collections software, Zoom, Teams, Canva, Mailchimp, Eventbrite, Facebook, Instagram, Gutenberg web editor, Raisers Edge, and Oracle; and mobile device applications. General knowledge in using audio and video equipment.
Work Schedule While a standard work week is from Monday through Friday (sans established EWC holidays), the position may be required to work weekends, holidays, or extended evening / morning hours to fulfill the needs of the program and its events and activities.

PREFERRED QUALIFICATIONS : Knowledge of and experience with specific Asian and Pacific cultures and arts; experience working with individuals with limited English language ability; experience with exhibition installation / de-installation; experience with hybrid conference production, stage production, and performance presentation; experience with ticket sales and front-of-house coordination.
