Job Duties
The Assistant Division Manager (Grade 11) is assigned managerial, operational and administrative responsibilities for automated and manual operational high volume and fast-paced activities for one or more court divisions.
Essential Duties and Responsibilities :
Assist in leading, planning and coordination of the division office employees, volunteers and unpaid interns, Strong decision-making capabilities, high degree of creativity and initiative, responsible for the training of staff, volunteers and un-paid interns. The assistant monitors quality and quantity of work through direct observation of the team. Must have the ability to communicate clearly and concisely in both written and oral forms, assist the division manager in performance evaluations, interview panels, grievances and disciplinary actions. Assists the division manager with short and long range planning, day-to-day docket / courtroom / front counter maintenance, problem resolution, coaching and counseling. Works under the direction of the division manager from established judicial and administrative policies and procedures.
Selected candidate assumes additional responsibilities on a temporary basis other than those primarily assigned to the position. Customer service responsibilities include responding with tact and diplomacy while interacting with the public and give clear and concise direction to staff. The Assistant Manager is able to handle the more difficult customer service related issues and represents the court at appropriate functions.
Minimum Qualifications
A high school degree or equivalent is required; college degree is ideal.
Physical demands include the ability to frequently lift / carry up to 15 pounds, visual acuity, speech and hearing, and eye coordination and manual dexterity necessary to operate a computer keyboard and basic office equipment. There is extensive walking, sitting, standing for long periods, reaching, twisting, and kneeling to perform the essential functional requirements. Applicants will be required to demonstrate verbal, written and math skills. This position demands a candidate who is hands on, actively engaged daily in all facets of the division.
Preferred Qualifications : Knowledge and hands on experience in the court system, will have experience with court documents warrants, summons, dockets, interaction with CWA office, will have extensive data entry and keyboarding experience. Customer service experience in person and via phone within the court / legal / setting is mandatory, will have experience with automated records, document imagining, extensive filing, and sorting, preparing and processing appeal bonds. The ideal candidate must have experience leading and managing work teams of five or more(5+) members in a fast-paced environment with extreme flexibility.
Additional Considerations
Computer Responsibilities Include : Viable candidate must have proficiency using a computer and performing word-processing. Ideal candidates will have court exp with Case Management (GCMS) and Financial Management (FMS), GDIS, proficiency in MS Office Suite®, Outlook, Teams messaging, must be able to be certified for access to the following software VCIN, NCIC, DMV and IPOAD (as applicable).
