Occupational Summary

The Student Services Coordinator will perform and coordinate a variety of student service duties to support Student Affairs initiatives within the Duke Physician Assistant Program. These responsibilities may include, but not be limited to coordinating and scheduling meetings, committee service, tracking outcomes, and communicating with students, academic advisors and internal / external university partners / stakeholders.

Work Performed : Program Support

  • Work directly with, and report to, the Operations Manager, and Program Director and faculty for the Duke Physician Assistant Program to coordinate and support program-wide initiatives, student support, academic advising, peer affinity groups, Stead Student Society and mentoring programs.
  • Assist program faculty in the administration and organization of the DPAP student advising system.
  • Liaison for institutional student support programs.
  • Manage communications (emails, calls, virtual) between students, faculty, and staff.
  • Assist with class leadership elections.
  • Provide oversight of student events (white coat ceremony, graduation, picnics, etc.)
  • Assist program faculty and the e Student Disability Access Office (SDAO) liaison for DPAP) with logistics of student accommodations management.
  • Assist with management of DPAP Student Special Interest Groups and Clubs via communications and meeting organization.
  • Develop and maintain computer database for tracking of data relative to budgets, student supportive needs, course information, and mailing lists.
  • Support faculty and the program director with compling and reporting student related data / information for accreditation maintenance

Education & Training

  • Coordinate advising and training modules for students.
  • Assist directors in developing educational programs for faculty, administrators, and student leadership designed to increase the understanding, sensitivity, and respect for all cultural groups and communities.
  • Participate and assist in other department-sponsored training and learning initiatives, as driven by professional expertise.
  • Correspond with students, University alumni, academic advisors and others seeking information on student affairs and diversity, equity and inclusion initiatives following established procedures and precedents.

    Minimum Qualifications Education

    Work requires communications, analytical and organizational skills generally acquired through completion of a bachelor's degree program.

    Master's Degree preferred

    Experience

    Work requires three years of experience in a student advising or other OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND / OR EXPERIENCE student services function.

    Skills :

    Competency in use of Qualtrics and Canvas systems.

    Strong administrative and organizational skills.

    Assignment typically requires a detailed knowledge of organization's operations, organizational procedures, and personnel.

    Exceptional communication skills and written ability.

    Demonstrate ability and temperament to work with sensitive information.

    Demonstrate interpersonal skills and proficiency in business vocabulary to effectively represent the program / division to both internal and external parties.

    Demonstrate attention to detail and decision-making skills to respond to high-pressure situations.
