Job Title : Administrative Assistant
Job Description
We are seeking an Administrative Assistant / Receptionist / Office Manager for a confidential search. The individual will sit at the front desk and be the 'face of the company,' but this role encompasses more than just receptionist duties. The role includes administrative support to a sales team leader and collaboration with the Executive Assistant. Additional responsibilities include assisting with shipping and receiving duties. This position offers the potential for growth and a permanent role within the company.
Responsibilities
Present a positive first impression to visitors and telephone callers.
Demonstrate excellent verbal communication skills and maintain a professional image.
Exhibit strong customer service focus and organizational and planning skills.
Utilize office tools such as typing, telephones, and Office 365 programs (Outlook, Word, PowerPoint, Excel).
Answer phones and direct calls.
Greet and receive guests and new hires.
Setup and cleanup for meetings, lunches, and site events.
Manage office supply inventory and ordering.
Assist the site controller with local invoices.
Support leads with travel arrangements, expense reports, and miscellaneous tasks.
Act as the sustainability lead and ensure reporting requirements in SharePoint are met.
Partner with employee resource groups (ERG) to support and host local events.
Lead charitable activities and support onsite teams with events.
Handle shipping and receiving tasks both nationally and internationally.
Ensure trade compliance for shipping (training provided).
Liaise with off-site document storage services and maintain document logs.
Arrange courier services required for engineering.
Serve as liaison between employees and property management.
Manage access to the site gym in partnership with property management.
Provide direction and guidance to maintenance staff.
Maintain seating chart and handle desk assignments, setup, and cleanup.
Assist IT in maintaining site distribution lists and badge access.
Assist with setup and cleanup of working lunches.
Handle ad-hoc responsibilities as assigned.
Decorate the site for seasonal and holiday events, including setup and cleanup.
Essential Skills
Minimum 2 years experience in an administrative / clerical / office support role.
Proficiency with MS Office Suite (Word, Excel, Outlook, PowerPoint).
Experience with virtual call platforms (MS Teams, Zoom, WebEx).
Strong customer service skills and professional communication abilities.
Additional Skills & Qualifications
Ability to multitask and take on additional responsibilities.
Adaptability to work with different cultures and languages.
Good listening skills and ability to follow instructions.
Experience in an administrative role not from a large corporation.
Shipping and receiving experience.
Pay and Benefits
The pay range for this position is $28.00 - $28.00 / hr.
