Job description

Office Coordinator

The Austin Studio is searching for an Office Coordinator. The core responsibilities of the role include :

  • Greet and welcome visitors with a friendly and professional demeanor, ensuring a positive first impression of Perkins&Will.
  • Provide administrative support such as receiving and distributing packages, coordinates shipping and couriers, maintain calendars, print documents, and answer phone calls.
  • Respond to inquiries from clients, customers, and employees, providing accurate information or routing them to the appropriate resources.
  • Manage the reception area, ensuring it is clean, organized, and presentable at all times.
  • Schedule and coordinate logistics for Lunch & Learns with reps.
  • Assist in ordering / coordinating office supplies, food, coffee, and beverages. Assists with keeping kitchen clean, stocked, and organized.
  • Assist with scheduling and coordinating office meetings / events and internal / external social gatherings or functions. Coordination of these functions can include sending out invites, studio furniture set-up and office tours.
  • Provide administrative support to various departments, including document preparation, data entry, and shipping / courier.
  • On occasion, coordinate and arrange travel accommodations and itineraries as required.
  • Follow company procedures for security, health, and safety to maintain a safe working environment.
  • Collaborate with Operations Director to ensure efficient operations and provide support as needed.
  • Stay updated on company policies, procedures, and upcoming events to provide accurate information to visitors and employees.
  • Adhere to professional and ethical standards, maintaining confidentiality of sensitive information.
  • Additional administrative duties and tasks as assigned.

Qualifications :

  • Proven experience as a receptionist, front desk representative, or in a similar customer-facing role is preferred.
  • Excellent verbal and written communication skills, with the ability to interact professionally with individuals at all levels.
  • Strong organizational and multitasking abilities, with exceptional attention to detail.
  • Proficient computer skills, including experience with Microsoft Office Suite (Word, Excel, Outlook).
  • Demonstrated ability to handle a high volume of calls and inquiries in a courteous and efficient manner.
  • Positive attitude, pleasant personality, and a customer service-oriented mindset.
  • Ability to remain calm and composed in stressful situations, demonstrating problem-solving skills.
  • Professional appearance and demeanor, with excellent telephone etiquette.
  • Dependable, punctual, and committed to maintaining confidentiality.
  • Regular schedule : Monday-Friday 8am - 5pm
  • Ability to work independently as well as in a team environment.
  • Flexibility to adapt to changing priorities and handle unexpected situations effectively.
