Administrative Support Specialist
The Middlesex Vicinage Municipal Division is seeking a well-organized, self-motivated and detail-oriented individual with strong customer service and communication skills to provide administrative support in a small but fast-paced office. The selected candidate must be a team player who works well in an environment that includes multiple simultaneous tasks and functions, including but not limited to : serving as a liaison / "Loss of Liberty" prevention coordinator for the municipal courts by overseeing the daily jail population and ensuring timely defendant releases and scheduling / overseeing daily Bail Review Hearings and preparing / reviewing court orders for completeness and accuracy. Other duties include monitoring online workbaskets; researching various databases and providing requested information; collecting / reviewing various statistical data and web reports and providing feedback and suggestions for improvement. This position also includes training / mentoring the Administrative Specialist 1 and serving as a backup to that position (including processing venue transfer requests) as well as providing coverage for and / or assisting other staff members as needed, including daily telephone coverage; and performing related duties as required. The ideal candidate will possess a general understanding of the New Jersey Court System and the Municipal Division. Knowledge of New Jersey municipal court operations is a plus. Proficiency in various computer systems (Word, Excel, Adobe and PowerPoint) is preferred and working knowledge of Judiciary / Municipal Court administrative systems including Promis Gavel, FACTS, ATS / ACS and PCSAM is a plus.
The Judiciary currently offers a hybrid work schedule, and this position may qualify for up to 2 days of remote work outside of Judiciary buildings. To participate in this program, in addition to installing a multifactor authentication app on your phone or tablet, you will be required to have high speed home internet access.
Graduation from an accredited college or university with a bachelor's degree. Substitution : Applicants who do not possess the required education may substitute additional paraprofessional and / or professional experience on a year-for-year basis with one year of such experience being equal to 30 semester hour credits. An associate's degree and two years of additional paraprofessional and / or professional experience may be substituted for a bachelor's degree. Applicants who are approaching their anticipated graduation date may apply. If selected, the applicant must complete their degree no later than their start date. Degrees conferred outside of the United States must be evaluated by a recognized evaluation service.
