Assistant Property Manager
Our client, a growing commercial property management company, is seeking a detail-oriented Assistant Property Manager to support day-to-day property operations. This role is ideal for someone with strong administrative and operational skills who enjoys coordinating with tenants and vendors and managing lease administrations to ensure smooth property operations.
Key Responsibilities
- Serve as a primary point of contact for tenants and vendors, addressing inquiries, service requests, and scheduling maintenance.
- Assist with lease administration, including tracking lease expirations, preparing lease documentation, and maintaining accurate lease files.
- Draft, review, and distribute invoices to tenants and vendors; track payments and coordinate with accounting to ensure timely processing.
- Prepare and coordinate bid proposals, service contracts, and approved invoices.
- Support budgeting and expense tracking by reconciling invoices, monitoring property-related costs, and maintaining financial records.
- Maintain records of Certificates of Insurance (COIs), ensuring compliance with company policies and lease requirements.
- Collect, organize, and analyze property-related data for reporting purposes.
- Coordinate vendor contracts, service agreements, and maintenance schedules.
- Assist property managers with operational tasks such as site inspections, reporting, and administrative workflows.
- Ensure timely follow-up on tenant and vendor communications to maintain high levels of service and satisfaction.
Requirements Qualifications
3+ years of administrative, property management, or light accounting experience preferred.Strong organizational skills with high attention to detail.Experience handling invoices, payments, or basic financial reconciliation.Excellent written and verbal communication skills for interacting with tenants, vendors, and internal teams.Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and property management software is a plus.Ability to multitask, prioritize assignments, and work independently in a fast-paced environment.
