What Makes This Role Special
We're seeking a versatile Administrative Assistant Floater to support multiple departments in our fast-paced auto auction! You'll handle collections, process payments, manage dealer accounts, coordinate title documentation, and provide crucial backup during peak periods. If you thrive on variety, love staying busy, and excel at juggling priorities, this dynamic role offers great exposure to all facets of the auto auction business!
Primary Responsibilities
Collections Support
- Process daily payments, including checks, money orders, cashier's checks, and wire deposits
- Assist dealers with payment transactions and track unpaid titles
- Calculate late fees and maintain dealer contact information in automated systems
- Conduct professional collections calls and monitor dealer accounts receivable
- Update dealer status and block access for defaults as needed
Floater Administrative Duties
Process dealer registrations and maintain floorplan documentationManage title filing systems and coordinate mailing proceduresProvide backup support to various departments during peak periods or absencesAccounts Payable Support
Process check deposits and perform credit card reconciliationCalculate and process monthly / quarterly dealer and partner rebatesExecute ACH payments and coordinate Brinks orders for cash managementManage gas card inventory and process vendor paymentsAdditional Responsibilities
Identify workflow improvement opportunities across departmentsMaintain confidentiality of sensitive financial and dealer informationCollaborate with team members to ensure seamless operationsPerform other duties as assigned to support auction operationsWhat We're Looking For (The Must-Haves)
Education : High school diploma or equivalentExperience : 2+ years of automotive title experience and some administrative or office experience under your belt, preferredWilling to Train : Experience isn't everything—we're happy to train someone who brings the right attitude and eagerness to learnThe Basics : Legal authorization to work in the U.S. and ability to pass our background check and drug screeningBilingual (English / Spanish) is preferred but not requiredThe Good Stuff (AKA Your Compensation & Perks!)
