Position Summary
We’re seeking a detail-driven and resourceful Office Manager / Bookkeeper who thrives in a dynamic, entrepreneurial environment. This person will oversee office administration, financial operations, and provide essential support to our sales and leadership teams. The ideal candidate is proactive, adaptable, and enjoys wearing many hats—from managing finances, quoting, and organizing operations to support the sales team. supporting customer interactions and trade show planning.
Key Responsibilities
Administrative & Office Management
- Oversee day-to-day office operations and internal communication.
- Support the CEO and Sales Team with scheduling, documentation, and follow-up.
- Organize and maintain confidential company, customer, and employee records (cloud and hard copy).
- Manage vendor relationships, renew contracts, and track subscriptions.
- Order branded materials, office supplies, and coordinate facility needs.
Bookkeeping & Financial Management
Manage accounts payable / receivable, payroll, commissions, and expense reporting.Handle banking transactions, reconciliations, and monthly reporting in QuickBooks.Prepare revenue and cash flow forecasts, assist with budgeting and financial summaries.Collaborate with an external financial advisor as needed.Sales & Customer Support
Maintain customer and opportunity data in Salesforce CRM.Consolidate quote information, prepare professional proposals, and process purchase orders.Communicate with customers to resolve questions and ensure timely project updates.Make inside sales calls or follow up on open quotations as needed.Marketing & Event Coordination
Research, plan, and coordinate trade show participation and sponsorships.Develop or coordinate production of basic marketing materials (brochures, banners, signage).Manage event logistics and promotional assets.What You Bring
4+ years of higher education or equivalent experience in business, finance, or administration.Proven experience managing office operations and company financials.Strong command of Microsoft Office 365 (Excel, Word, PowerPoint, Outlook), QuickBooks Online.High level proficiency with Salesforce.Excellent written and verbal communication skills.Highly organized, dependable, and comfortable managing multiple priorities.Enthusiasm for working in a small-business, hands-on environment where flexibility and initiative are key.Why Join VMS?
