Loan Operations Specialist

Responsible for the overall supervision and control of the Loan Operations related to the tracking of original and recorded documents ensuring integrity for the loan. Ensure that collateral documents and original loan documents are released / satisfied for loans paid off on a timely manner always complying with bank policies and federal regulations. Responsible for safekeeping loan documents in the vault file. Responsibilities : Subject matter expert in the following Loan Operations applications : Exception Tracking, Imaging, Loan Servicing App, Case Management App, FCM Image Centre, Simplifile, NCino, BakerHills, FIS IBS Core System. Responsible for the implementation of all projects that cover changes to certain Loan Operations applications : Exception Tracking, FCM Image Centre, Vault Inventory Document Tracking. Responsible for the ongoing administration of the different software programs used in the Loan Operations Department : Exception Tracking System, Vault Inventory Document Tracking. Responsible for establishing new collateral exceptions, recorded documents, Title Insurance Policy, and tracking of original loan documents for renewals, modifications and new loans including commercial, consumer, international and mortgage loans to ensure proper tracking and reporting of missing legal documents. Complete exceptions in tracking system for documents received from the Post Closing Coordinator team member. Responsible for completing / closing exceptions tracked for loans which have been paid off. Responsible for the integrity of the exception tracking system related to collateral / legal (excluding flood insurance and regulatory exceptions). Responsible for preparing and sending the car loan documents to the Tag Agency to process the ELT. Responsible for monitoring the vendor for the Electronic Lien Title (ELT) for car loans. Verify documents were received to clear exceptions in tracking system. Review recording information in UCC-1 received from the Post Closing Coordinator team member to update the tracking information accordingly, ensure timely tracking updated of all UCC financing statements, once recorded, and continued every 5 years. Responsible for completing and submitting Small Business Administration reports as well as remitting fee payments. Responsible for recording in the county through Simplifile the loan documents with no attorney involved. Responsible for safekeeping the loan documents in the vault files, original Promissory Notes, original collateral loan documents, recorded documents. Responsible for processing loan documents to be sent outside. Responsible for monitoring the Amerant Mortgage loans purchased, and safekeeping in the vault the original Promissory Note, recorded documents, and Title Insurance Policy. Responsible for processing loans paid off for R / E loans and Non-R / E loans, release documents, and Satisfaction of Mortgage. Assist the department in audits and projects, ensuring that all processes and procedures are being followed during the audits and projects. Report, summarize, assemble and extract information to present to examiners and auditors. Assist Department staff when needed. Assist the Department in other activities as needed. Perform other duties as required. Recommend to immediate supervisor, policies and procedures changes needed to maintain a streamlined and secure process. Stay abreast of changes to federal regulations that might directly affect the Loan Operations area. To identify, evaluate, monitor and make any recommendation deemed necessary to their respective Risk Management Committee in order to assess, reduce, eliminate or control any current or prospective risks to earnings or capital arising from violations of, or nonconformance with, laws, rules regulations, prescribed practices, internal policies and procedures or ethical standards. Minimum Education and / or Certifications Requirements : Associates degree required, Bachelor’s preferred, or 4 years of comparable experience in lieu of education. Minimum Work Experience Requirements : Minimum five years of loan banking experience, with strong knowledge of all aspects of Loan Operations. Must have strong knowledge of loan documentation, loan regulations and loan accounting. Bilingual (Spanish / English) preferable. Technical and / or Other Essential Knowledge : Microsoft Office (Excel, Word and Power Point, Access) and ample knowledge of main frame systems requirements for Loan Operations. Experience in imaging and tracking systems and processes.Query experience required.Strong analytical and report writing knowledge. General knowledge of IT infrastructure.
