We are looking for a skilled Customer Service Representative to join a team in Plymouth, Minnesota. In this role, you will serve as a dispatcher, ensuring the seamless coordination of requests and schedules. This is a long-term contract position that requires exceptional communication skills, adaptability, and the ability to thrive in a fast-paced environment.
Responsibilities :
- Respond to incoming calls, including emergency situations, inquiries, follow-ups, and service requests.
- Schedule and coordinate service appointments to meet customer needs effectively.
- Create and manage dispatch tickets for all service calls.
- Assign service technicians to jobs, providing them with necessary details and support.
- Update and maintain systems to reflect technician availability and schedules.
- Oversee the dispatch board and ensure schedules are up-to-date.
- Monitor and forecast workloads to maintain operational efficiency.
- Deliver accurate information and assistance to technicians during their assignments.
- Track new service tickets and ensure existing ones are updated promptly.
- Proficiency in Microsoft Teams, Outlook, and scheduling / ticketing software.
- Basic knowledge of Excel for tracking and reporting purposes.
- Strong multitasking abilities to handle diverse responsibilities simultaneously.
- Excellent note-taking and organizational skills.
- Capability to manage stress and adapt to changing situations.
- Self-motivated with the ability to work independently.
- Effective communication skills to engage with various personalities.
- Familiarity with CRM systems and other management tools is preferred.
