Job description

Job Title : Office Assistant I

UPMC's Healthy Families Primary Care is seeking a friendly and organized office assistant to join our team. In this role, you'll support patients and providers by scheduling appointments, handling phone inquiries, managing check-ins, and ensuring a smooth office flow. Experience with Epic (Bridges) / EMR systems, phones, cashiering, and scheduling is preferred, as you'll play an important part in creating a welcoming and efficient environment for our patients. This full-time position will work Monday through Thursday from 7 : 00am to 5 : 30pm and on Friday from 7 : 00am to 2 : 30pm. No holidays or evenings are required and any weekend shifts would be on a voluntary basis. Title and starting pay rate of this position may vary based on years of experience.

Responsibilities :

  • Verify necessary information and records in the medical record and computerized scheduling system.
  • Schedule, coordinate, and reschedule patient's appointments.
  • Relay necessary messages to staff and providers.
  • Greet and register patients in a polite, prompt, helpful manner.
  • Provide any necessary instructions / directions. Inform appropriate department / person of person's arrival performing appropriate check-in and check-out functions.
  • Maintain clean, orderly waiting area including beverage area and reading materials.
  • Prepare patient charts for upcoming appointments.
  • Answer telephone, screens calls, takes messages, and provides information.
  • Maintain and update current information on physician's schedules ensuring that patients are scheduled properly and appointments are confirmed.
  • Complete necessary paperwork such as encounter forms and referrals.
  • Use computer system to generate information necessary for billing.
  • Answer questions regarding patient appointments and testing.
  • Complies with all UPMC Health System policies and procedures.
  • Maintain strict confidentiality related to medical records and other data.
  • Utilize appropriate modules of the automated financial management system for scheduling, information verification, entering charges, co-payment collection / reconciliation and other tasks.

High school diploma or GED is required. 1 year work experience, preferably in a medical office setting. Knowledge of medical terminology preferred. Word processing and computer experience preferred.

Licensure, Certifications, and Clearances :

  • Act 31 Child Abuse Reporting with renewal
  • Act 33 with renewal
  • Act 34 with renewal
  • Act 73 FBI Clearance with renewal
