Assistant to the Director of WICE

This position provides essential support to the Director of Workforce Innovation & Continuing Education and the Workforce Innovation & Continuing Education Department. The Assistant shall provide all support necessary for the department in the administration and delivery of non-credit programs, which include training and certification programs for workforce development credentials and certifications, professional development programs which meet the educational needs of the community, and leisure learning programs offered for the enrichment of the students, faculty, staff, and surrounding community members.

Job Responsibilities :

• 25% Communication Support - Represent the Director of WICE as liaison contact with students, faculty, staff, and community in all aspects related to the non-credit programs offered by the department. Serve as the primary point of contact for internal and external communication. Draft, review, and distribute correspondence, emails, and reports.
• 20% Calendar and Schedule Management - Coordinate and maintain the Director's calendar, schedule meetings, appointments, and deadlines. Prepare agendas and materials for meetings.
• 20% Administrative and Office Management - Handle filing systems, manage incoming and outgoing documents, and ensure proper record-keeping. Manage office supplies and equipment maintenance.
• 15% Program Coordination and Event Support - Assist in planning and executing workshops, training sessions, and community outreach events. Coordinate logistics, invitations, and participant follow-up.
• 10% Data Entry and Reporting - Maintain databases related to programs, participants, and outcomes. Prepare basic reports for the director and department.
• 10% Other Duties - Support special projects and administrative tasks assigned. Collaborate with team members to ensure departmental goals are met.

Salary Range : $32,000.00-$36,000.00

Minimum Qualifications : Associates Degree

Work Experience of 2 years may be considered in place of Associates Degree.

Specific Experience in office management and customer relations.
