We are seeking a highly organized and proactive Administrative / Office Assistant to support the daily operations and executive functions of our fast-paced robotics company. This role requires exceptional communication, organization, and multitasking abilities, as well as strong attention to detail and discretion in managing sensitive information.
As a key member of our administrative team, you will ensure smooth day-to-day operations across multiple office spaces, streamline internal processes, and provide direct support to the CEO and leadership team. You will collaborate closely with HR, engineering, and operations to coordinate projects, manage documentation and contracts, and contribute to the overall efficiency and culture of our growing organization.
Required Qualifications & Abilities :
Responsibilities :
Own and optimize day-to-day office operations across multiple office spaces, including office supplies, engineering inventory, kitchen stock, and cleaning schedules.Support the CEO directly, including calendar management, coordinating communications with key stakeholders, and organizing workflows.Serve as a primary point of contact for a 50+ person team, supporting HR, project management, scheduling, event planning, and executive team members.Draft, execute, and manage agreements such as offer letters, consulting contracts, NDAs, HIPAA forms, and advisor agreements (via DocuSign).Organize and maintain hundreds of company documents across agreements, investments, contracts, org structures, and financial records. Prepare CEO-facing materials, including pitch decks, Board Meeting slides, and organizational charts.Ensure smooth cross-department collaboration through timely administrative and operational support.Required Qualifications :
Strong organizational skills with proven ability to manage multiple priorities in a fast-paced environment.Excellent written and verbal communication skills.Demonstrated ability to meet deadlines and work with a high level of accuracy.Proficiency in productivity tools (Microsoft Office Suite and Google Workspace).Experience supporting executives or senior leadership.Educational Background :
Bachelor's degree in Business Administration, Communications, or related field.Expertise :
Proficiency with contract and agreement management software (DocuSign or similar).Experience in project coordination and office management.Skilled in preparing professional presentations and reports (e.g., PowerPoint, Google Slides).Familiarity with office flow processes, event coordination, and team support functions.Soft Skills :
Proactive problem-solving with strong attention to detail.High level of discretion and professionalism in handling confidential information.Adaptable and resourceful in dynamic, evolving environments.Team-oriented mindset with ability to build positive working relationships across departments.Strong prioritization and time-management skills.Other Requirements :
Willingness to work on-site at our Malibu headquarters to support the CEO and upper management team.Base salary $50,000 / year. Total compensation includes stock options and an end of year bonus.
