Job Summary Legal Secretary

File and serve legal papers and correspondence, such as summonses, complaints, motions, and subpoenas and assist with clerical tasks in a high-pace, sophisticated business litigation firm.

Essential Functions :

The position’s essential functions include but are not limited to the following functions :

  • Available at desk during regular business hours to answer phones, greet callers, establishing reason for calling, direct incoming phone calls to appropriate person, attend to immediate needs of attorneys and paralegals (physical presence at desk is required for performance of these essential functions).
  • Timely and accurately file litigation documents in arbitrations and state, federal and appellate courts.
  • Serve documents via electronic methods, overnight mail, U.S. regular mail, certified mail.
  • Prepare and coordinate delivery of mandatory chambers copies, as needed.
  • Assist with preparation for meetings, depositions, hearings, mediations, trials and other litigation proceedings.
  • Coordinate remote appearances for attorneys’ hearings.
  • Accurately rename, organize, and save documents to electronic document management system.
  • Download documents through online portals and websites.
  • Review and properly maintain case files; locate relevant case information for attorneys.
  • Prepare weekly report of upcoming litigation deadlines.
  • Review incoming email and correctly route to appropriate litigation team.
  • Draft and revise various documents including pleadings, correspondence, and memoranda.
  • Communicate with Court clerks and litigation vendors.
  • Back up other secretaries and receptionists during planned and unplanned secretary absences.
  • Maintain composure and work efficiently and accurately during highly stressful circumstances.
  • Demonstrate excellent customer support.
  • Work cordially, cooperatively and productively with Firm employees.
  • Work overtime, as needed, to complete essential functions; and
  • Other functions that may be assigned.

Skills :

  • Prior civil litigation experience preferred.
  • 1-2 years of litigation legal secretary experience, preferably supporting a Partner or Senior Attorney.
  • Superior customer service skills.
  • Accuracy in grammar, spelling and punctuation.
  • Strong attention to detail and ability to multi-task effectively.
  • Self-starter with ability to work independently, as well as in a team environment.
  • Knowledge of and experience using Microsoft Office suite (Outlook, Word, Excel) a must.
  • Knowledge of and experience with an electronic document management system, Clio and DropBox a plus.
  • Experience : 1-2 years of related experience.
  • B.A. or B.S.

Comfortable with technology, able to troubleshoot independently and resolve issues as they arise.

Can work independently and work well in a team environment.

Job Type : Full-time

Salary : $25.00 - $30.00 per hour, depending on experience, qualifications and skills.
