About the Role
The Office Administrator at User Research International plays a key role in ensuring every detail—from research to client experience—is thoughtfully managed. This position oversees daily operations, manages supplies and budgets, supports participant check-ins and events, and helps maintain a professional, organized, and welcoming environment that reflects URI’s values.
Key Responsibilities
Front Desk & Guest Experience
- Serve as URI’s first point of contact for visitors, clients, and study participants, greeting everyone with warmth and professionalism.
- Manage the main phone line and office inbox, ensuring inquiries are routed quickly and accurately.
Office Ownership & Facilities
Take full ownership of the office environment, ensuring all shared spaces, labs, and conference rooms are clean, organized, stocked, and client-ready.Coordinate vendor relationships, maintenance, and services for the office.Office Amenities & Resource Management
Manage snacks, drinks, and supply inventory, ordering, and budgeting.Track expenses, forecast needs, and provide proactive updates on budget and stock levels.Events & Culture Support
Co-plan and execute internal events, celebrations, and morale-building activities.Coordinate logistics for company meetings, trainings, and team gatherings (catering, setup, cleanup, etc.).Administrative & Team Support
Assist departments with scheduling, onboarding coordination, and general administrative support.Help maintain clear internal communication by posting signage, updates, and office announcements.Manage Freshdesk inquiries to ensure timely, professional responses to participant questions.Handle mail distribution, scanning, filing, and organization of key records.Qualifications
2+ years of experience as an Office Administrator, Front Desk Coordinator, or similar role.Excellent communication and interpersonal skills, you enjoy engaging with people throughout the day.Strong organizational habits and attention to detail; you take pride in a well-run office.Proficiency in Microsoft 365 (SharePoint, Teams, Excel, Outlook) and Google Suite (Docs, Sheets, Drive).Experience with Freshdesk or similar ticketing systems preferred.Ability to manage sensitive information with discretion.Must be able to lift up to 50 lbs.Benefits
