The Prince George's County Office of Law is currently seeking qualified applicants to fill a Legal Administrative Aide 3 (Administrative Aide 3G) grade G17 position, in the Litigation Division .

About the Position

This is a highly responsible and advanced secretarial / administrative position in the County Attorney's Office. Incumbent will act as an Administrative Aide to Associate County Attorneys, relieving them of various administrative details. Work at this level and the higher levels in this class series also involve handling highly sensitive and confidential issues and related activities. Incumbents in this class work independently under general supervision of an administrative supervisor. Work performance is evaluated in terms of accuracy and timely completion of projects and assignments.

About the Agency

The mission of the Office of Law is to provide the County government and its agencies, boards and commissions with cost effective, quality representation in all matters requiring legal advice and review, to diligently and fairly enforce the civil laws of the County, and to be responsible and proactive in providing legal services and advice to our clients. The Office of Law is comprised of three divisions, each of which is supervised by a Deputy County Attorney. The divisions are : Litigation, Transactional, and Government Operations.

Examples of Work

  • Provides administrative and secretarial support to Associate County Attorneys, primarily in the Litigation Division, including the Team lead attorney.
  • Establishes, maintains, monitors, updates, and closes attorney assignments.
  • Reviews attorney assignments to determine next action or what pleadings should be prepared. This is done independently or with minimal supervision.
  • Responds in writing or over the telephone to inquiries and requests regarding cases and assignments independently or with minimal supervision.
  • Researches, prepares, and distributes various statistical reports.
  • Drafts, composes, and types letters, memoranda, reports, (some of which are confidential) legal documents and legal pleadings, including motions, interrogatories, notice of deposition, etc.
  • Manages attorney schedules and arranges appointments for attorneys.
  • Screens and answers incoming telephone calls for attorneys. Greets and assists visitors.
  • Establishes and maintains files on all attorney assignments, letters, memoranda, and subject files.
  • Processes mail for attorneys. Sorts, scans, and notates mail in case management system.
  • Acts as liaison and person of contact with courts, commissions, county agencies, attorneys, etc.
  • Attends meetings as required.
  • Performs other related work as assigned.

Qualifications

  • Must have experience in the Administrative Aide II level equal to the length of the probationary period, or
  • Associates degree in Business Administration or Secretarial Science.
  • One (1) year of secretarial / administrative experience which involved working with the public, office management and operational details.
  • Any equivalent combination of relevant training, education and experience may also be considered.

    PREFERRED QUALIFICATIONS

  • Must have nine (9) months of experience in a law office setting or Associates degree in Business Administration or Secretarial Science and one (1) year of secretarial / administrative experience which involved working with the public, office management and critical operational details and confidential personal information.
  • Thorough knowledge of office practices, procedures, systems and equipment.
  • Skill in operation of a variety of standard office equipment.
  • Ability to communicate effectively both orally and in writing.
  • Ability to use tact, diplomacy, and discretion in performing office duties and to maintain confidentiality when necessary.
  • Ability to conduct research and prepare accurate reports.
  • Ability to perform advanced secretarial / administrative duties that may include taking and transcribing of oral dictation.
  • Ability to establish and maintain accurate files.
  • Ability to lead / coordinate the work of subordinates.

  • Successfully pass preemployment checks which may include reference checks, background investigations, and drug screenings, where applicable.
  • Be willing and able to serve as an essential employee. Essential employees are expected to report during standard or non-standard hours as operations necessitate, or during emergencies. Essential employees are expected to report or remain at work when other County employees are granted Administrative Leave.

    General Plan Information :

    The Prince George's County benefits plan year is from January 1 to December 31.

    A spouse (to include a same sex spouse) can be added to the health benefit plans. A marriage certificate and social security number is required to add a spouse.

    Children under the age of 26 are eligible for coverage under the health benefit plans. This includes stepchildren and children of the same-sex spouse. A birth certificate(s) and social security number(s) is required to add a child(ren). If you are only adding the stepchildren or child(ren) of a same-sex spouse, you will need to submit a marriage certificate. You will also need to submit the birth certificate of the child(ren) and your spouse must be listed as a parent.

    The premiums for health benefits are deducted on a pre-tax basis with the exception of Long-Term Disability, Extra Life Insurance and Voluntary Benefits (Short-Term Disability, Whole Life Insurance, Critical Illness, Accident Insurance, Cancer Indemnity, Hospital Indemnity Protection, Accident Indemnity Plan, Supplemental Dental and Group Legal Services).

    New employees must enroll in the County's health benefit plans within thirty (30) days of the hire date.

    The effective date of the health benefits coverage is the beginning of the month following a waiting period of forty-five (45) days from the date of hire.

    After enrolling in the County's benefit plans, employees may only make changes to the plans either during the open enrollment period, which occurs annually (usually each October), and / or during the year, due to a family status change (i.e., marriage, births, divorce and adoption).
